Position Summary

The Proposal Coordinator supports the development and submission of accurate, compliant, and compelling proposals, qualifications, and interview materials for heavy civil construction pursuits by coordinating schedules, reviewing solicitation requirements, gathering and organizing technical information, maintaining proposal resources, and assisting with document production. This role collaborates closely with the proposal team, business development, estimating, operations, and other subject-matter experts to effectively communicate Traylor’s experience and capabilities, and provides limited support for market research, business development, and marketing activities.

                                                               

Key Tasks and Responsibilities            
•    Review RFQs, RFPs, and bid documents to identify requirements, evaluation criteria, and deadlines.
•    Develop and maintain proposal schedules, compliance matrices, outlines, and coordination tools.
•    Coordinate inputs from project teams, estimating, operations, business development, and leadership to support proposal development.
•    Prepare, write, edit, format, and assemble statements of qualifications, proposals, and presentation materials.
•    Gather, organize, and maintain project experience, resumes, statistics, and other proposal content.
•    Maintain and update proposal database, boilerplate content, and supporting resources to ensure accuracy and consistency.
•    Support pursuit interviews by developing presentations, coordinating logistics, and assisting with preparation and materials.
•    Conduct market, client, competitor, and procurement research to support business development and pursuit planning.
•    Assist with marketing activities, internal communications, award submissions, and related promotional efforts as assigned.
•    Manage multiple deadlines, prioritize assignments, and independently execute routine tasks.
•    Collaborate effectively with internal teams and perform additional duties as assigned.
•    Travel may be required for meetings, site visits, training, and company events.

Education/Experience
•    Bachelor’s Degree in Marketing, English, Business, Communications, or related field.
•    3-5 years of experience in proposal coordination, marketing, communications, document production, or a related field.
•    Experience supporting proposals, qualifications, marketing, or business-development activities in the architecture, engineering, construction, or heavy civil infrastructure industry is preferred.
