Job Description

We are seeking a Senior Property Manager to join BGRE in Calgary, AB. This is a managerial position responsible for the day-to-day management of a Class "AA" complex ensuring all critical operational success factors are properly scheduled and provided in order to successfully operate the building and fully satisfy Tenant needs and operational requirements. The incumbent will direct all physical operational and administrative functions associated with the complex, ensuring that it is managed and operated at the highest possible standard in accordance with BGRE goals and objectives through sound financial management, timely reporting, lease administration, tenant and client relations, superior tenant service, enhanced tenant satisfaction and retention, and employee engagement and proactive management, all in accordance with applicable codes, environmental requirements and government legislation.

This role is also responsible for promoting BGRE as the pre-eminent property management company in Canada through superior and innovative strategies designed to increase value and enhance important relationships with high profile office tenants.

The Senior Property Manager will focus on relationship management through constant communication and follow up, ensuring a timely resolution to operational and tenant issues. They will lead and provide direction to all Bankers Hall Complex property departments to ensure the complex is presented at the highest standard while meeting tenant expectations on a daily basis.

Role & Responsibilities:
  • Lead and manage the property team in the day to day administrative and operational functions of the property, fostering a supportive, collaborative and proactive environment

  • Build and maintain a high-performing team through effective recruitment, onboarding, training, development and assignment of personnel

  • Provide leadership and guidance on performance management, promotions, terminations and compensation

  • Ensure all contracted services and maintenance functions are delivered to a consistently high standard

  • Review and monitor Service Center requests and reports, ensuring the Work Order system achieves or exceeds established service-level standards

  • Develop property-related specifications; tender, negotiate, document and oversee all service and supplier contracts

  • Minimize risk and exposure to the property and BGRE through effective contract documentation, negotiation and administration

  • Contribute to and participate in the development of the annual corporate Business Plan

  • Prepare and develop annual property budgets and forecasts for revenue, operating expenses and capital, for Asset Management approval

  • Maintain accurate financial records and ensure departments operate within approved annual budgets while achieving established goals and initiatives

  • Oversee the final year end Operating Statements

  • Review property income and expense statements to ensure the complex is operating within budget and corporate income projections are being achieved

  • Oversee the preparation of the Monthly Management reports

  • Oversee and participate in planning and organizing all tenant improvements, renovations, construction and all budgeted and approved capital programs

  • Support office and retail leasing representatives and participate in lease negotiations and renewals as required

  • Ensure timely execution of all leases and completion of related administrative responsibilities

  • Support Leasing in identifying leasing opportunities, including ensuring the retail mix fulfills property needs and remains innovative, relevant and successful

  • Focus on enhancing asset value for ownership through implementation of the strategic financial plan, including annual operating and capital plans, operating initiatives, corporate objectives, ongoing employee development and maintaining the BGRE service culture

  • Participate in regional and national initiatives, providing leadership and support in BGRE programs

  • Collaborate closely with the Director of Marketing in the development and implementation of the annual Marketing Plan, supporting initiatives focused on meeting Retail tenant needs and driving increased traffic and sales performance. Contribute to the ongoing review and refinement of the Marketing Plan to ensure it responds effectively to market trends, tenant requirements, and performance results

  • Develop and implement effective Tenant Management strategies to support tenant retention

  • Ensure tenant needs are met through effective customer service processes and procedures while fulfilling the Landlord's contractual obligations under leases and use clauses

  • Respond to Tenant and public inquiries, requests and issues in a timely and professional manner

  • Present the Property Update at biweekly Leasing Meetings, ensuring all relevant operational issues are communicated and discussed

  • Actively participate in local committees and industry associations such as BOMA

  • Undertake other projects and initiatives as assigned

Your Qualifications:
  • Completion of university degree; actively pursuing or completed RPA, FMA or CPM designation preferred

  • Minimum five (5) years of equivalent property management experience preferably in class A/AA mixed-use facilities including experience overseeing employee development and dealing directly with employee issues

  • Advanced knowledge of Microsoft Office software, particularly in Excel, Word, and Outlook; experience in Yardi and other property management systems is an asset

  • Experience in the preparation of business plans, operating budgets, variance analysis, and management and quarterly reports; marketing strategies; lease types, leasing strategies and lease negotiations; legal remedies; purchasing, contracts, collections and insurance; building operations and maintenance, including HVAC systems and building services; security and life safety systems and strategies; and the planning and execution of special events, promotions and advertising

  • Knowledge of general building maintenance and operations

  • Experience with sustainability programs such as LEED EB:OM, BOMA 360, WELL Health, or other sustainability programs is an asset

  • Knowledge of legal contract administration, project management, accounting procedures including budgeting and reporting

  • Ability to work independently and is able to deal effectively with difficult and sensitive situations

  • Strong communication, interpersonal, organizational, and critical thinking skills, with the ability to manage competing priorities and deadlines.

  • Outgoing, diplomatic, confident, mature, and self-motivated, with strong leadership skills and experience developing and motivating staff to reach their highest potential
