THE ROLE

Under the supervision of the Health Promotion Manager, the Administrative Assistant ensures the collection of necessary documentation and arranging topic briefings in preparation for conferences, meetings, and appointments. They provide clerical support for the Health Promotion Manager including data entry, word processing, faxing, photocopying, correspondence, distribution and follow-up action. They organize meetings, advises attendees, drafts and distribute agendas and minutes. They also organize event calendar and assist with event bookings such as registration, booking technical equipment, set up of event location, as required. They schedule and arranges appointments, meetings, and travel schedules. They provide administrative support for taskings and campaigns.

QUALIFICATIONS NEEDED

Education, Certifications and Licenses

College diploma or certificate in Business Administration, Accounting, Office Administration or a related field AND some years experience in administration or in a related field

Experience

In office administration and records management
Organizing meetings and schedules
Drafting and distributing correspondence
In preparation of reports
Knowledge of office procedures, basic office equipment, resource management, and budget administration
Using computer software applications for word processing, spreadsheets, presentations, databases, e-mail, and internet browsing

Competencies

Client focus, organizational knowledge, communication, innovation, teamwork and leadership.

LANGUAGE REQUIREMENTS

English Essential / Bilingual (English and French) an asset
