While both roles support project teams, a Project Operations Assistant primarily handles logistical and administrative tasks, whereas a Project Coordinator manages project execution and stakeholder communication. The roles often overlap but differ in scope and responsibility.
Job Summary:
Under the supervision of the Vice President in Operations, the Operations Assistant is responsible for various processes in the Operations Department. The Operations Assistant will be expected to maintain knowledge of bank policy and department procedure as they relate to areas of responsibility. Typically involves managing and supporting the day-to-day activities of a bank, including processing transactions, reconciling accounts, supporting and managing deposit products to include IRA/HSA portfolios, providing technical and operational support for cash management products and services, assisting both business and internal customers, and ensuring compliance, and providing customer support.
The Operations Assistant also handles other work as assigned including Help Desk Support.
This position is on-site in Winsted, CT.
Principal Responsibilities:
Customer Service & Customer Supportโ Addressing customer inquiries, resolving issues, and providing exceptional customer service including phone and email.
Responding to inquiries and resolving issues related to cash management products and services. Assisting with onboarding, documentation, and implementation of new products and services.
Transaction Processing โ Handling deposits, withdrawals, fund transfers, and other customer transactions accurately and efficiently.
Account Reconciliation โ Monitoring and reconciling accounts to detect and resolve discrepancies, ensuring accuracy and integrity of financial records.
Compliance and Risk Management โ Implementing and enforcing policies and procedures to maintain compliance with banking regulations and reduce operational risks.
Auditing โ Conducting audits to ensure accuracy and compliance with banking procedures.
Operational Support โ Providing operational support for various bank functions, including fraud and adjustment claims, bank controls, and legal processes.
Operations Support of Cash Management Products โ performing business customer setups and maintaining customer files. Monitoring product usage and system operations. Processing fund transfers, wire payments, and ACH transactions.
Process Improvement โ Identifying areas for process improvement to increase efficiency and productivity.
Special Projects โ Assisting with special projects and responding to audit requests.
Education/Experience Requirements:
High School Diploma, some college courses in business or accounting helpful, or equivalency required with 6 months to 3 years of relevant experience in bank operations. Requires general knowledge of accounting and knowledge of banking regulations and procedures . Must demonstrate strong analytical and problem-solving skills, and attention to detail. Excellent communication and interpersonal skills. Ability to work independently and as part of a team. Able and willing to cross train in the department and support team members in their roles.
Must have proficiency in relevant software and systems like COCC, Insight. Computer skills including the use of Internet and Microsoft Office, Outlook, Word and Excel.
Regular attendance is an essential function of this position.
Initiative:
Requires ability to prioritize work and take initiative in problem solving. Must be able to exchange information and ideas with others clearly and precisely. Tasks performed by this position are varied but relatively routine and may involve selecting most appropriate courses of action from among several standardized procedures. Supervision received is intermittent checks with all problems referred to supervisor.
Responsibility (error probability and impact, contacts with others, exposure to confidential data):
Work performed is time sensitive requiring speed while maintaining accuracy. Errors that might occur could include processing transactions incorrectly, posting entries to the wrong account or failing to reconcile account correctly, failing to provide proper operational support that doesnโt identify fraud and adjust claims, etc. Potential errors are generally easily corrected when caught during review. If errors are not detected there is a high potential for financial loss to the bank and customer impact. The position has access to confidential customer information. Contacts include both internal and external customers to provide and receive routine information.
