Recovery Training Institute

Recovery Training Institute (RTI) develops innovative online and in-person education focused on recovery, mental health, workplace culture, leadership, professional development, and recovery-informed practice.

RTI works with organizations, governments, communities, subject matter experts, and industry leaders to create practical, engaging learning experiences that support healthier people, workplaces, and systems.


As RTI continues to grow its national training portfolio, digital learning library, partnerships, and organizational projects, we are seeking an exceptionally organized, technology-savvy, and highly capable Project Coordinator to help keep the many moving pieces connected.


This role is ideal for someone who thrives in a fast-paced environment, enjoys bringing order to complexity, and genuinely likes building systems that make work easier. You are equally comfortable managing a project tracker, troubleshooting a learning platform, preparing a report, organizing hundreds of pieces of information, or jumping into Photoshop to make a quick update to a digital asset.

The Project Coordinator will work closely with RTI leadership and team members to support project management, learning systems, reporting, digital content, operational processes, and the continued development and expansion of RTI.

Role-Specific Accountabilities:

Project Management & Coordination

  • Coordinate multiple concurrent RTI projects from planning through implementation and completion.
  • Develop and maintain project plans, timelines, task trackers, milestones, and deliverables.
  • Work with leadership and team members to ensure project responsibilities, deadlines, and next steps are clearly documented and followed.
  • Identify project risks, delays, dependencies, and operational challenges and help develop practical solutions.
  • Coordinate information between internal teams, instructors, contractors, partners, and other stakeholders.
  • Support the implementation of new training programs, digital learning initiatives, filming projects, partnerships, and organizational initiatives.
  • Develop systems and processes that improve visibility, accountability, and efficiency across projects.
  • Help ensure ideas and decisions made in meetings are translated into actionable work.

Systems & Learning Technology

  • Manage and maintain RTI technology platforms, including Absorb LMS, Microsoft 365, The Mighty, and other operational and learning systems.
  • Build and maintain learner workflows, course and session structures, registration processes, user access, automations, and reporting systems.
  • Support the upload, organization, testing, and ongoing maintenance of digital learning content.
  • Troubleshoot technology and platform issues and coordinate solutions when required.
  • Identify opportunities to automate or simplify repetitive administrative processes.
  • Support the evaluation and implementation of new software and digital tools.
  • Maintain organized digital file structures, shared resources, templates, and internal systems.

Reporting & Data Analysis

  • Prepare monthly reports, project reports, funding and grant reports, year-end summaries, and strategic planning materials.
  • Track participation, completion, engagement, feedback, and other training performance indicators.
  • Analyze operational and learning data to identify trends, opportunities, and areas requiring attention.
  • Develop spreadsheets, dashboards, trackers, and reporting tools that allow leadership to quickly understand organizational performance.
  • Organize qualitative and quantitative feedback into clear findings and recommendations.
  • Maintain accurate records and ensure reporting information is accessible and reliable.

Digital Content & Creative Support

  • Support the organization and administration of RTI's growing digital learning library.
  • Assist with website updates, digital marketing initiatives, social media content, and promotional materials.
  • Use Adobe Photoshop or similar design software to make basic edits, resize graphics, prepare digital assets, and support the development of branded materials.
  • Coordinate digital assets related to filmed learning content, presentations, instructor materials, and online education.
  • Work collaboratively with creative and communications team members to ensure materials remain organized, current, and consistent.
  • Support quality assurance of digital learning materials before publication.

Operational & Administrative Support

  • Prepare presentations, proposals, funding applications, reports, briefing materials, and internal documents.
  • Organize large volumes of information into structured, accessible systems.
  • Create templates, workflows, checklists, and operating processes that improve consistency.
  • Document processes so systems can be understood and used by other team members.
  • Support leadership with planning, research, project development, and organizational growth initiatives.
  • Assist with meeting preparation, documentation, action tracking, and follow-up.
  • Help identify gaps in existing systems and recommend practical improvements.


Qualifications:

  • Exceptional organizational and project management skills.
  • Demonstrated experience coordinating projects involving multiple stakeholders, timelines, and deliverables.
  • Strong technical ability and confidence learning new software and systems quickly.
  • Advanced proficiency with Microsoft Excel, Word, PowerPoint, Outlook, Teams, and Microsoft 365.
  • Experience working with learning management systems, digital learning platforms, databases, CRM systems, or similar technology.
  • Experience with Absorb LMS and The Mighty is considered a strong asset.
  • Experience with Adobe Photoshop is considered a strong asset.
  • Experience with Adobe Creative Cloud or other digital design tools is an asset.
  • Experience using project management platforms such as Monday.com, Asana, ClickUp, Microsoft Planner, Jira, or similar systems is an asset.
  • Experience developing spreadsheets, dashboards, reports, project trackers, and operational systems.
  • Strong written and verbal communication skills.
