Job description

This job listing is intentionally broad, we anticipate varying needs in the near future and are interviewing for the Project Coordinator (entry level) up to Project Manager+ (mid to senior level).

Project Coordinator/Manager is responsible for prioritizing, guiding, and directing department teams throughout the life cycle of medium- to large-sized, often complex, projects. The right candidate will be an advocate for the project team, ensuring that they are empowered and have the information needed to successfully create and deliver an excellent end product.

The ability to communicate effectively is a foundational skill to the PM position. PM will need to facilitate communication amongst the project teams, with peers and counterparts, on up through senior management.

As a part of our project management team, you’ll independently lead project teams on various types of projects. Your responsibilities include client communication, ensuring everything stays on track, on budget, within scope, and follows internal processes. You'll leverage current project management systems to make data-driven decisions around these projects and provide reporting as needed.

Experience & Skills:
  • Ideally 3+ years of project or account management experience, ideally in an agency setting; relevant certifications are a plus
  • Comfortable with frequent phone calls, video calls, and in-person meetings
  • Experience developing and overseeing project plans and timelines
  • Great attention to detail, organization, and the ability to effectively multi-task in a deadline-driven atmosphere - a true “type A” personality
  • Highly collaborative, respectful, and has a positive attitude
  • Ability to demonstrate flexibility and confidence, and to provide outstanding client service
  • High levels of integrity, autonomy, and self-motivation
  • Digital marketing experience, in production or project management, preferred (social media, website design/development, SEO, SEM, email marketing, etc.)
  • Proven communications skills, both written and in-person
  • Proven organizational skills and a focused attention to detail
  • Problem solver - can understand a problem and work toward a solution by building consensus within the project team.
  • Proactively analyzing, proposing, and supporting the implementation of process improvements
  • An analytical, quick thinker in a fast-paced environment
  • Ability to easily work with everyone from designers to developers to content creators, and communicate across all levels in the company
  • Ability to adjust how information is communicated to various audiences, who each process information in their own way, have different working styles, and unique personalities

  • Effective resource management, including collaboration across the PM team to optimize resource allocations across the agency
  • Proactively monitor, report, and react to project scope changes, budget burn, and timeline risk
  • Has a car and a valid driver’s license, willing to drive to meet clients at their location
Essential Duties and Responsibilities:
  • Daily communication with clients by email, phone, Zoom, and/or in-person meetings
  • Daily maintenance of project management systems and the ability to recognize and elevate issues.
  • Coordinating with the team daily for updates, assigning tasks, and overseeing progress
  • Managing and setting client and team expectations
  • Lead discovery and review meetings with clients
  • Project planning (timelines, schedules, etc.)
  • Manage editorial calendars and social/email content production
  • Marketing research, keep up to date on trends, and make recommendations
  • Coordination with third-party vendors such as printers, videographers, media companies, advertising opportunities, and partners etc.
  • Developing procedures to replicate your work (anything you do frequently should be recorded and taught so that you can delegate to others)
  • Develop and manage project scope, budgets, and timelines
  • Monitor potential areas of concern, mitigate risk, control scope, and work toward solutions with project teams when issues arise
  • Perform other functions and duties as required
