In this role, you'll play a critical part in ensuring the financial accuracy and integrity of projects from start to finish, managing invoicing, budget tracking, cost reviews, and financial reporting that keep our projects on track and our clients well served.

If you thrive on precision, enjoy collaborating across teams, and want your work to have a direct, visible impact on business outcomes, we'd love to hear from you.

What You'll Do

  • Track project costs, budgets, and consultant invoices to ensure financial accuracy and compliance
  • Create and maintain projects in Deltek, including contracts, change orders, and related records
  • Review labor and expenses on projects, flagging any issues to the billing manager
  • Prepare and send monthly billing reports and follow up to ensure completion
  • Create, send, and track invoices, and follow through on timely collection of payments
  • Respond to client inquiries regarding project billing and payments received
  • Review consultant statements and vendor invoices for accuracy
  • Enter and reconcile payments received in Deltek
  • Close out projects, confirming all billable tasks have been invoiced
  • Prepare clear, accurate financial reports and status updates for stakeholders
  • Collaborate closely with project managers, accounting staff, and other departments to support smooth project execution

What You Bring

  • Strong organizational skills and attention to detail
  • Solid understanding of accounts payable, accounts receivable, and billing processes
  • Experience with project accounting (Deltek experience a plus)
  • Strong communication skills, both written and verbal
  • Ability to manage multiple priorities and meet deadlines
  • Problem-solving skills and sound judgment in addressing financial discrepancies
  • Proficiency in Microsoft Office (Excel in particular)
  • Ability to work both independently and collaboratively in a team environment

Work Environment

This is an on-site role in a collaborative, commercial design firm. Occasional travel may be required for client business or training. The role involves regular computer use, phone/video calls, and occasional light lifting (up to 25 lbs). Reasonable accommodations are available for individuals with disabilities.
