Job description

Position Summary:

Anthony Management Group is seeking an experienced Construction Project Coordinator to support an active construction project in Cecil County, MD. This role is responsible for maintaining project tracking systems, coordinating documentation workflows, managing subcontractor follow-up, and ensuring accurate and timely reporting. The position provides structured operational support to the Assistant Project Manager and field team.

This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. 

This is not a design engineering position. The Assistant Project Manager retains responsibility for technical review, contract interpretation, and schedule analysis. The Project Coordinator ensures accurate execution, documentation control, and workflow consistency.

The ideal candidate has prior experience supporting active construction projects and can operate independently with minimal training in a fast-paced project environment. This position requires prior experience working in a structured, deadline-driven environment and the ability to operate independently with minimal training.

Location:

Cecil County, MD (Elk Neck State Park)

Education:

  • Bachelor's degree in Construction Management, Business Administration, Project Management, or related field preferred
  • Equivalent construction project coordination experience will be considered in lieu of degree

Qualifications & Certifications:

  • 2–5 years of experience supporting commercial, infrastructure, or public construction projects
  • Demonstrated experience managing submittals, RFIs, vendor coordination, and construction documentation workflows
  • Hands-on experience with Procore (strongly preferred) or similar construction management software
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Strong organizational and follow-up skills
  • Ability to manage multiple priorities in an active jobsite environment
  • OSHA 10-Hour Certification (or willingness to obtain within 90 days)
  • Strong written and verbal communication skills.
  • Ability to work collaboratively in a team environment and adapt to changing priorities.

Role/Responsibilities

Project Documentation & Log Management

  • Maintain and update submittal logs, RFI logs, material tracking logs, and change order tracking systems
  • Track approval dates, anticipated delivery dates, and status updates
  • Ensure all documentation is accurately uploaded and organized within Procore
  • Maintain version control of project documents and ensure records remain current
  • Maintain organized project files in accordance with established procedures

Subcontractor & Vendor Coordination

  • Follow up with subcontractors and vendors on outstanding submittals, documentation, and material deliveries
  • Coordinate required submissions in alignment with project schedule
  • Track material prepayments and invoice status as directed
  • Notify project leadership of outstanding or aging items

Schedule & Reporting Support

  • Assist with updating weekly look-ahead schedules based on approved submittals and delivery timelines
  • Support alignment between material tracking and project schedule updates
  • Notify appropriate parties of scheduled concrete placements and key deliveries
  • Maintain and update the weekly Roadblock Log and distribute as required
  • Prepare and distribute daily project reports

Meeting & Administrative Support

  • Coordinate project meeting notices and distribute agendas
  • Prepare and upload meeting minutes
  • Process timecards, expense documentation, and other administrative items as required
  • Assist with collection and organization of project closeout documentation
  • Other duties as assigned
