We are seeking a Project Administrator to support our team at FieldTurf, a world leader in artificial turf with over 25,000 installations worldwide. In this role, you will partner closely with Project Managers and cross-functional teams to ensure projects run smoothly from bid through closeout.
This position is ideal for someone who thrives in a fast-paced environment, enjoys coordination work, and excels at managing multiple priorities. This role follows a hybrid schedule based out of the Montreal Office and will be reporting to Regional Manager, Customer Operations.

What you'll do:
Project Coordination & Administration
  • Provide administrative and coordination support to 1-2 Project Managers
  • Maintain accurate and organized project documentation across all phases
  • Ensure timely updates in internal systems to reflect project status and changes

Pre-Bid & Bid Support
  • Prepare quotes, bid documents, and proposals
  • Review project specifications and ensure alignment with internal data
  • Support pricing validation, including logo pricing and scope confirmation

Project Execution
  • Assist with submittals, product data, and documentation packages
  • Coordinate subcontract agreements and installation mandates
  • Support change orders and ongoing project documentation

Project Closeout
  • Track and compile closeout documentation
  • Upload final project records into Procore
  • Follow up to ensure all deliverables are complete and accurate

Cross-Functional Collaboration
  • Work closely with Marketing, Supply Chain, Legal, Production, Logistics, and Customer Service
  • Support project timelines and ensure alignment across departments

What you need for success:
  • Bachelor's degree in Business Administration or equivalent experience
  • 3+ years of relevant experience in project coordination or administration
  • Strong organizational and time management skills
  • High attention to detail and accuracy
  • Ability to manage multiple priorities and meet deadlines
  • Excellent communication and interpersonal skills
  • Team-oriented with a collaborative mindset
  • Ability to work effectively under pressure
