Project Coordinator

Role Summary

The Project Coordinator handles the operational and administrative tasks that keep client engagements moving to success. The Project Coordinator’s value comes from consistently, accurately, and on time performing the logistical aspects needed so the rest of the team can focus on design, delivery, and the client relationship.

Core Responsibilities

Travel and On-Site Logistics

  • Book travel for facilitators and delivery team members; timely distribute travel itineraries and confirmation to the delivery team. Coordinate room setup, A/V, and on-site materials with the venue.

Materials Production

  • Produce,ship, and confirm materials delivery at the location prior to the start date.

Virtual Delivery Setup

  • Set up Zoom, Teams, or other virtual platforms per the program specifications, providing platform login details and tech-check instructions. Create breakoutrooms and confirm participant access before the session.

Client-Facing Scheduling and Admin

  • Send calendar invites and confirmations for client meetings, workshops, and sessions at the EM’s direction; respond to client inquiries.

Tracking and Admin Support

  • Utilize company software platforms to track statuses, due dates, and support the Account Manager for accurate invoicing.

Required Skills and Qualifications

  • Strong organizational skills and exceptional attention to detail.
  • Proficiency in MS Office (PowerPoint, Word, Excel), SharePoint, ability to learn and master Monday.com, and Toggl.
  • Comfort with travel-booking platforms and virtual delivery tools (Zoom, Teams).
  • Clear, professional written communication - for confirmations, calendar invites, and short client-facing logistics emails.
  • Ability to timely manage many small tasks across multiple programs without missing details.
  • Willingness to work outside standard hours occasionally to support international clients or live program days.
  • Experience in professional services, training, events coordination, or executive assistance preferred.

Minimum Education

  • Bachelor’s degree preferred (Business Administration, Project Management, Communications, or related field).
  • Associate degree acceptable if paired with strong relevant work experience (coordinating corporate training, managing client deliverables, or supporting project timelines).

AI Proficiency

Work Location, Hybrid Flexibility, and Compensation and Benefits

The Project Coordinator role is based at Advantexe’s world headquarters in Bala Cynwyd, Pennsylvania. Employees are in-office at least three days a week (Tuesday, Wednesday, and Thursday), with remote-working flexibility on Mondays and Fridays if desired.

The base salary for the Project Coordinator role is $60,000 - $67,500, depending upon experience and educational background.
