Job description

The associate project manager supports the delivery of implementation projects across the project management team. He/she is typically assigned to several projects at once and works with more than one project manager; the role is not normally dedicated to a single customer.
With guidance, he/she takes accountability for defined portions of scope, schedule, cost, and quality, and progressively assumes ownership of smaller or lower-complexity projects as competence is demonstrated. He/she maintains the schedules, action logs, risk registers, documentation, and reporting that keep projects visible and controlled, and supports the project manager in preparing customer communications, change order documentation, and internal reviews.
The associate project manager is customer-oriented and is developing the ability to advocate for and support the customer's logistics processes and requirements. He/she is expected to bring problems forward early with a recommended course of action, and to grow into making those calls independently.
The associate project manager is highly motivated to work in a startup/growth environment and is open for a wide range of tasks at different locations. This role is the primary development path into the project manager position.

Your tasks

Support the delivery of multiple concurrent implementation projects across the project management team.

Independently manage assigned lower-complexity projects, or defined portions of larger projects, under the direction of a project manager.

Maintain project schedules, action logs, risk registers, and documentation so project status is accurate and current at all times.

Prepare and issue routine project reporting to internal stakeholders and, with review, to the customer.

Identify and document changes and change orders as they arise, so they are captured at the time rather than reconstructed later.

Coordinate with site managers, implementation engineers, suppliers, and procurement on deliveries, site readiness, and material tracking.

Support the project manager in keeping projects on schedule and within budget.

Contribute to the development and refinement of standard project tools, documents, and processes.

Build the competence and judgment required to assume the project manager role.

Travel domestically, total travel estimate is 25%.

Main Accountabilities

  • Support multiple project managers across concurrent projects from sales handover to final acceptance
  • Own and maintain project schedules, action logs, and risk registers for assigned projects
  • Prepare routine internal and customer-facing project reporting to the agreed template and cadence
  • Document scope changes, variations, and change orders as they occur and route them for review and signature
  • Coordinate material deliveries, site readiness, and documentation with site managers, suppliers, and procurement
  • Attend and minute project meetings, and track actions through to closure
  • Manage assigned lower-complexity projects, or defined portions of larger projects, under the direction of a project manager
  • Maintain project files and records to Kardex standards, including cost and receipt records coded to the correct project
  • Support the project manager in preparing for internal reviews, quality checks, and customer milestone meetings
  • Support project close-out and customer handover activities

Leadership

  • Motivation to work in a startup/growth environment and take on a wide range of tasks
  • Excellent communication and interpersonal skills
  • Ability to establish effective working relationships across teams
  • Ability to manage competing priorities across more than one project and project manager
  • Brings issues forward early, with a recommended course of action rather than an open question
  • Actively seeks feedback and coaching; treats mistakes as material to learn from
  • Strong attention to detail and organizational skills
  • Self-driven, result oriented with positive outlook to success
  • Clear focus on high quality and ensuring all the customers' needs are met
