Assistant Project Specialist

Job Description:
The Assistant Project Specialist is responsible for interfacing with internal and external project leadership to ensure the successful execution of overall projects and associated milestones throughout the project lifecycle. This position supports engineering and construction projects by assisting the Project Manager and project team in providing solutions for executing project needs within budget and schedule. By organizing and driving team deliverables and communication, this position brings consistency to project execution through documentation, reporting, project planning, and detailed process implementation. Proactively and regularly communicate with (but not limited to) the project team, client representatives, subconsultants, and subcontractors on project delivery and execution.
Role Responsibilities

  • General administrative support for company projects.
  • Organize and maintain project files, filing system and project communications.
  • Assist with various forms of data entry on projects, including (but not limited to) project contact lists, project execution plans, project schedules, project change orders, project budget reports; in addition to reports, specifications, and all other deliverable and/or Client needs.
  • Assist with identifying, entering, monitoring, and analyzing the progress of key project needs, deliverables, and milestones for the project team using internal software, and support the presentation of regular progress reports covering action items and progress updates.
  • Assist with monitoring submittal log and RFIs in construction management software and expediting responses for subcontractors from the internal design team.
  • Update record copies, engineering project documentation and changes.
  • Provide information to facilitate questions regarding projects and prepare research information.
  • Record minutes from Project Manager/team meetings.
  • Type memos, correspondence, reports and other documents as requested.
  • Coordinate travel arrangements and any other internal services for various project needs.
  • Verify accuracy and compliance with project requirements of bills/invoices, trip tickets and expense reports and process items in a timely manner.
  • Assist in setting up client meetings and presentations (virtual and/or in-person) as requested.
  • Reserve conference rooms and coordinate client, vendor and/or supplier presentations, meetings and interviews, including setup and cleanup.
  • Performs other duties as assigned.
  • Complies with all policies and standards.

Requirements:
Qualifications

  • High School Diploma/GED required, or
  • Applicable experience may be substituted for education requirements required.
  • Applicable office/clerical experience preferred.
  • Proficient in Microsoft Word, Excel and PowerPoint required.
  • Knowledge of Bluebeam Revu and Studio applications is preferred.
