Project Assistant (Long Beach, LA, Azusa, Downey)

Position Requirement: Experience in construction, preferably public works with emphasis on support to project management team. Seeking a detailed and organized professional with previous construction office experience. Will report directly to Project Manager with secondary reporting requirement to the Business Manager. Responsibilities: Manage project office facilities including but not limited to the oversee of all items listed below performed by Project Office Assistant(s). Manage Project Office Assistant(s). Manage and coordinate accounting systems(s) in order to produce accurate complete Job Cost Reporting. Cost Analysis, ensure low cost purchase and budget review Processing, coordination and management of Accounts Payable for and Subcontract Progress Payments for project. Processing, coordination and management of Payroll and LDR for project. Responsible for delegation and support of actual Document Control in Paperless Environment. Participate in all faucets of accounting and project management systems through Viewpoint Software. Participate in all faucets of paperless environment. Prepare, analyze, and transmit certified payroll and any "additional" reporting requirements per project and contract specifications. Responsible for management of project insurance requirements with subcontractors and vendors Co-ordinate and manage month end close with corporate office in order to provide timely and accurate reporting for project. Manage, maintain telephone systems and video conferencing, update telephone lists for project office. Provide reception when necessary. Coordinate Verizon, Nextel cell/radio use for project Coordinate Wright Express Fuel and Maintenance cards for project. Reconcile vendor accounts as needed. Manage maintenance contracts for equipment, services and provide support as needed. Monitor, deal and negotiate for best rates with any suppliers for office equipment, supplies, items or services as directly by Project Manager by using (3) quote system. Stock and inventory control for office related equipment and products. Coordinate, manage and plan meetings when necessary for project. Participate in project's efforts in mobilization and demobilization of project site as directed. Manage a regular schedule for electronic data back-up and off-site storage. Maintain project "craft" wage binder and union agreements. Estimating assistance. Applicable miscellaneous duties as required. Requirements: - Active Team Player with positive attitude. - Excellent communication skills with solid written skills. - High level of computer proficiency. - Excellent time management, problem solving and organizational skills - Polished interpersonal skills, high energy and flexibility. - Ability to make independent decisions and judgments regarding work priorities. - Capable of working independently in a fast paced environment. - Ability to juggle multiple tasks. - Quick and competent learner. - Highly motivated.
