We are looking for a passionate, self-motivated person that excels in a dynamic and strategic role to help us maintain project administration requirements for commercial building projects.  This role will assist the PM team to ensure the project required documents, Insurance requirements, daily reporting’s, purchasing requirements and project closeout documents are maintained.  


Job Responsibilities/Accountabilities:

  • Managing and ordering office equipment, office services and supplies.
  • Manages the onboarding of employees.
  • Assists new hires with the completion of new hire documents. 
  • Assist visitors to the office, including new employees and others visitors. 
  • Ensuring Contract drawings are updated and distributed.
  • Monitoring Field reporting but not limited to: Daily reports, Toolbox talks, rental equipment tracking.
  • Maintaining Project GMP tracking matrix and assembling monthly backup documents.
  • Managing project insurance requirements.  (COI’s, OCIP, CCIP)
  • Overseeing project personnel onboarding requirements.


Supervisory / Budgetary / External Communication Responsibility 

  • Communicates with Vendors, GC’s, Subcontractors and Project Managers on project requirements.


Knowledge, skill and ability requirements (competencies required for job performance)

  • Advanced Excel skill set utilization.
  • MS Office Suite (Word and Outlook) basic knowledge required.
  • Outstanding communication skills (phone, e-mail, video conference, and in-person) required.
  • Well-developed organizational skills.


Prior work experience and educational requirements

  • 2-3 years’ Experience in field.
  • High School Diploma.
  • Administration Experience in large fast pace industrial project is preferred.


Physical Demands 

The employee frequently is required to stand, walk, use hands to finger, handle or feel, and reach with hands and arms. The employee must occasionally lift and/or move up to 35 pounds.
