Job Summary

We are seeking a detail-oriented and highly organized Accounts Payable Specialist with construction industry experience to join our growing team. This position is responsible for managing high-volume accounts payable activities across multiple entities while ensuring accuracy, compliance, and timely processing of invoices and vendor payments. The ideal candidate will have a strong understanding of construction accounting practices, job costing, purchase orders, subcontractor documentation, and multi-entity accounting environments.


Required Experience

✅ Minimum 1 year of Accounts Payable experience in the Construction Industry

Key Responsibilities

  • Process high-volume Accounts Payable invoices
  • Monitor AP email inbox and scan incoming invoices
  • Open, sort, and scan mailed invoices
  • Maintain organized digital invoice records
  • Verify invoices are coded correctly to jobs and cost codes
  • Enter and post invoices in QuickBooks across multiple entities
  • Create Purchase Orders from approved vendor quotes
  • Match invoices to Purchase Orders
  • Obtain approvals for invoices and check requests
  • Reconcile vendor statements and resolve discrepancies
  • Process company credit card transactions and payments
  • Maintain vendor records, including:
    • W-9 Forms
    • Certificates of Insurance
    • Workers' Compensation Documents
    • Subcontractor Agreements
  • Manage multiple priorities and meet deadlines in a fast-paced environment
  • Handle confidential information with professionalism


Qualifications

  • 1+ year of construction industry Accounts Payable experience required
  • Experience with job costing and cost code allocation
  • QuickBooks experience preferred
  • Strong attention to detail and organizational skills
  • Ability to work in a multi-entity accounting environment
  • Proficient in Microsoft Office, especially Excel
  • Strong communication and follow-up skills
