Job description

The Assistant Athletic Director, Foundation Accounting position serves as a key member of the Foundation's team and is responsible for supporting the organization's financial management, accounting, reporting, budgeting, and compliance functions. Working closely with University of Memphis Athletics leadership, Foundation staff and the MAF Board of Directors, this position helps ensure the effective stewardship of Foundation resources.

The University of Memphis is a leading, student-centered, urban public R1 research institution. Located in Memphis, Tennessee, on 1,160 acres. The University serves a population of nearly 20,000 students and 2,500 employees, including more than 1,000 full-time faculty members. The University offers bachelor's degrees in more than 230 areas of study, master's degrees in more than 50 subjects and doctoral degrees in 26 disciplines; supported an institutional record of more than $100 million in research awards for FY24; and has an operating budget of close to $500 million.

Bachelor's degree in a relevant area and a minimum of five (5) years of experience in accounting, financial management, budgets, forecasts, audits, cash flow analysis, etc.

OR 

Master's degree in a relevant area and a minimum of three (3) years of experience in accounting, financial management, budgets, forecasts, audits, cash flow analysis, etc.

Foundation Financial Operations

  • Oversee daily accounting activities in coordination with the Oracle ERP system.
  • Coordinate the payment of all invoices (operations & capital projects) in a timely manner.
  • Monitor any payables for the Foundation and track the status of each throughout the fiscal year.
  • Monitor accounts receivable, cash receipts, deposits, and ensure collection of all assigned revenue streams.
  • Manage cash flow in all Foundation accounts to ensure adequate liquidity for all operations and projects.
  • Prepare all needed journal entries on a daily, monthly, and annual basis.
  • Oversee account reconciliations and monthly close process.
  • Collaborate with the CFO, Athletic Department Business Office, and stadium staff to ensure understanding of all flows of funding between entities and correct payment strategies.

Foundation Financial Statements & Reporting 

  • Prepare monthly, quarterly, and annual financial statements for the MAF, including income statements, balance sheets, and statements of cash flows.
  • Ensure the accuracy and completeness of any requested financial reports to Foundation Leadership and Board of Directors.
  • Understand reporting in the Oracle ERP system and be able to teach staff how to use these reports.
  • Assist CFO and University accounting staff with annual year-end information for the University of Memphis.
  • Coordinate financial reporting requirements associated with tax filings, donor-restricted funds, sponsorship agreements, debt agreements, and other compliance obligations.
     

Foundation Audits 

  • Assist in the coordination of all aspects of the annual external financial audit, serving as a liaison between the Foundation and independent auditors.
  • Prepare audit schedules, workpapers, reconciliations, and supporting documentation for financial statements, account balances, and transactions.
  • Ensure all financial records are complete, accurate, and readily available for audit review and respond to auditor inquiries and requests for information in a timely manner.
  • Monitor compliance with internal controls, accounting policies, donor restrictions, and contractual obligations.
  • Assist in the development and implementation of policies and procedures designed to strengthen financial controls and reduce audit risk.
  • Collaborate with University personnel, Athletic Department staff, and Foundation staff to provide all needed information for state-related audits.

Foundation Budgeting & Forecasting

  • Assist CFO and Foundation leadership in developing and maintaining annual budgets for all Foundation activities.
  • Monitor budget-to-actual results and provide variance analysis and recommend corrective actions, as needed, to Foundation and Athletic Department leadership.
  • Develop financial projections and cash flow forecasts to support operational, capital, and strategic planning.
  • Evaluate financial trends and key performance indicators and provide recommendations to improve operational efficiency.
  • Collaborate with Athletics leadership and Foundation staff to identify funding needs, prioritize expenditures and align resources most effectively.
     

Other Duties as Assigned
 

  • Will be assigned to work at certain Foundation and University of Memphis Athletic events, including fundraising events, stadium events, etc., including nights and weekends.

Positions in Athletics require compliance with NCAA rules as a job requirement.
