About the Position

The Project Accountant plays a critical role in supporting the financial success of construction projects from startup through closeout. This position works closely with Project Managers, Operations, Accounting, and Leadership to ensure project financial information is accurate, timely, and actionable. The Project Accountant is responsible for monitoring project costs, processing billings, managing subcontractor and vendor documentation, tracking committed and uncommitted costs, and assisting with project forecasting and financial reporting.

Responsibilities

Project Financial Management

  • Establish and maintain project financial records and documentation.
  • Assist with project setup and contract administration within company systems.
  • Review project budgets and cost codes for accuracy.
  • Monitor project costs and identify variances from budget.
  • Track committed and uncommitted costs to support accurate project forecasting.
  • Assist Project Managers with monthly cost reviews and financial analysis.
  • Maintain project financial files and ensure documentation is complete and organized.
  • Support project closeout activities and final financial reconciliations.

Billing & Revenue Management

  • Prepare and process customer invoices in accordance with contract requirements.
  • Coordinate monthly progress billings with Project Managers.
  • Track billing status and follow up on missing approvals or supporting documentation.
  • Assist with retention tracking and release management.
  • Monitor contract values, change orders, and billing schedules.
  • Support collections efforts by providing documentation and billing support as needed.

Cost Management

  • Review vendor and subcontractor invoices for accuracy and proper coding.
  • Assist with purchase order and subcontract administration.
  • Monitor project commitments and cost allocations.
  • Verify that costs are charged to the appropriate projects and cost codes.
  • Support month-end cost accrual processes.
  • Assist with identifying cost discrepancies and resolving issues promptly.

Compliance & Documentation

  • Maintain subcontractor compliance documentation, including certificates of insurance, lien waivers, and other required records.
  • Ensure project documentation meets contractual and company requirements.
  • Assist with audit requests and financial reporting requirements.
  • Maintain confidentiality of financial and company information.

Team Collaboration

  • Partner closely with Project Managers to support project financial performance.
  • Communicate effectively with vendors, subcontractors, customers, and internal departments.
  • Provide timely financial information and reporting to support decision-making.
  • Participate in departmental meetings and process improvement initiatives.
  • Assist with special projects and additional duties as assigned.


Minimum Qualifications

  • Associate degree in Accounting, Finance, Business Administration, or related field; equivalent experience may be considered.
  • Minimum of 2 years of accounting, construction accounting, project accounting, or related experience.
  • Strong proficiency in Microsoft Excel and Microsoft Office Suite.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills.


Preferred Qualifications

  • Bachelor’s degree in Accounting, Finance, or related field.
  • Construction industry experience.
  • Experience with project-based accounting.
  • Experience with QuickBooks, ERP systems, or construction management software.
  • Understanding of job costing, WIP reporting, and construction billing processes.
