JOB SUMMARY
The Philanthropy Department plays a vital role in advancing HealthRIGHT 360's mission by securing private funding and strengthening relationships with institutional funders and donors. The team works collaboratively across the organization to translate program outcomes into clear, impactful funding opportunities, align resources with strategic priorities, and support the sustainability and growth of services for underserved communities.
The Philanthropy Associate provides operational and administrative support for fundraising, donor stewardship, marketing, and events. This role is responsible for maintaining accurate donor records, processing gifts, supporting donor communications, and assisting with fundraising and engagement activities. Working closely with the Philanthropy team, the Associate helps ensure the efficient execution of departmental projects and contributes to a positive donor experience.
Occasional local travel may be required for event support, site visits, and donor-related activities, including some evenings and weekends.
KEY RESPONSIBILITIES
Donor Data Management & Fundraising Support
  • Enter and maintain donor, prospect, and gift records within the donor database.
  • Process donations and ensure accurate documentation of contributions.
  • Generate routine fundraising, campaign, and donor reports.
  • Prepare donor acknowledgment letters, mailing lists, and stewardship materials.
  • Support ongoing data maintenance activities to ensure data integrity and accuracy.

Projects Support
  • Support assigned fundraising, marketing, and donor engagement projects.
  • Track tasks, deadlines, and deliverables within established processes.
  • Assist with preparation of materials and documentation needed for project execution.

Events Support
  • Assist with planning and coordination of fundraising and stewardship events.
  • Manage registration materials, RSVP tracking, guest communications, and event preparation activities.
  • Provide on-site support for event setup, guest services, logistics, and breakdown.

Marketing & Communications Support
  • Assist with development and distribution of promotional and fundraising materials.
  • Support production of donor communications, newsletters, and outreach materials.
  • Coordinate branded merchandise and collateral orders as needed.

Stakeholder Communication
  • Respond to donor, community, and internal inquiries as directed.
  • Support donor stewardship activities through timely and professional communications.
  • Maintain positive relationships with donors and stakeholders through responsive service.

Administrative Support & Other
  • Monitor and route website inquiries to appropriate staff.
  • Prepare meeting materials, presentations, reports, and correspondence.
  • Conduct donor and prospect research to support fundraising activities.
  • Maintain departmental records, tracking spreadsheets, and administrative files.
  • Ensure accuracy, timeliness, and quality of assigned work.
  • Follow established policies, procedures, and workflows.
  • Complete assigned trainings in a timely manner.

QUALIFICATIONS
Credentials
  • Bachelor's degree in Communications, Marketing, Business Administration, Nonprofit Management, or a related field.
  • Certified Fund Raising Executive (CFRE) coursework or introductory fundraising training a plus.
  • Valid California driver's license and access to registered and insured transportation preferred.

Experience
  • 1+ year(s) of administrative, fundraising, customer service, communications, or nonprofit experience.
  • Experience working with databases or CRM systems preferred.
  • Experience supporting events, donor engagement, or marketing activities preferred.

Background Check and Other Requirements
  • Qualified candidates with a criminal record will be considered for employment.
  • Must be capable of obtaining and maintaining a satisfactory background check.
  • Must be able to meet health screening requirements.
