Program Operations Associate (Temporary, Part-Time) – Two Openings

Location: Hybrid (Stamford, CT – 2–3 days per week in office)
Department: Program Operations
Employment Type: Temporary, Part-Time
Expected Dates: July – December 31, 2026 (subject to change)
Compensation: $20 - $25 per hour

About Opportunity

The AIFS Abroad division is seeking to hire two temporary, part-time Program Operations Associates to support our Program Operations team. One position will support our Customized Faculty-Led (CFL) Programs team, while the second position will support our Study Abroad Programs team. Both roles provide hands-on experience in international education operations, participant services, billing administration, and pre-departure program support. These positions offer an excellent opportunity for individuals interested in international education, higher education administration, study abroad programming, and student services to gain experience with a leading global education provider.

Program Operations Associate – Customized Faculty-Led Programs

Reports To: Director, Customized Faculty Programs

Primary responsibilities include:

  • Drafting visa, immigration, and scholarship support letters.
  • Responding to participants’ pre-departure inquiries.
  • Maintaining CFL program contacts and records.
  • Supporting program reporting and information management.
  • Managing participant billing, payments, and refunds.

Program Operations Associate – Study Abroad Programs

Reports To: Manager, Study Abroad

Primary responsibilities include:

  • Coordinating and distributing pre-departure materials.
  • Reviewing course and syllabus information.
  • Communicating flight information to participants.
  • Supporting student visa service submissions.
  • Managing participant billing, payments, and refunds.

Shared Responsibilities

Both positions will:

  • Update participant records in the AIFS Abroad Portal.
  • Generate and review billing documentation.
  • Monitor student and institutional payments.
  • Process refunds and financial inquiries.
  • Review participant tasks and send reminders.
  • Assist with reporting and operational projects.
  • Support student success throughout the pre-departure process.

Qualifications

  • Bachelor’s degree required.
  • Minimum of one year of professional experience.
  • Strong written and verbal communication skills.
  • Excellent organizational and project management abilities.
  • Experience in higher education, international education, or student services preferred.
  • Proficiency with Microsoft Office, Teams, SharePoint, and OneDrive.
  • Familiarity with CRM systems, Canva, or similar tools preferred.

Preferred Experience

  • Experience studying, interning, working, or living abroad.
  • Strong attention to detail.
  • Ability to manage multiple priorities simultaneously.
  • Finance, billing, or administrative experience.
