Description:

The Pre-Sales Coordinator – Commercial & Industrial (C&I) supports the sales engineering and project development process for commercial and industrial power generation solutions. This role is responsible for managing incoming leads and RFQs, coordinating bid flow, maintaining CRM accuracy, supporting estimating activities, and ensuring timely and organized execution of the pre-sales pipeline for KGE’s New Unit Sales Department.


This position is not a quota-carrying sales role but plays a critical part in enabling sales efficiency, bid accuracy, and pipeline visibility across the C&I business.


DUTIES/RESPONSIBILITIES:

Lead & Bid Management

  • Receive, log, and distribute incoming leads, RFQs, and bid opportunities to appropriate Sales Representatives and Sales Engineers.
  • Ensure timely routing of opportunities based on workload, expertise, and territory alignment.
  • Track RFQ status and ensure deadlines and submission requirements are met.

CRM & Pipeline Administration

  • Maintain accurate and up-to-date records in CRM and shared drives.
  • Ensure all opportunity data, customer details, and project documentation are properly organized and current.
  • Monitor pipeline health, including open opportunities, stages, and follow-up activities.

Sales Engineering Coordination

  • Track quote due dates and proactively follow up with Sales Engineers and Sales Reps to ensure timely submission.
  • Monitor workload distribution across Sales Engineers to ensure balanced assignment of opportunities.
  • Support internal coordination between sales, engineering, and operations teams.

Reporting & Analytics

  • Generate and maintain reports on closed-lost opportunities, including documented loss reasons and trend analysis.
  • Monitor win rates, pipeline conversion metrics, and overall bid activity.
  • Identify patterns and provide feedback to improve bid strategy and efficiency.

Estimating & Bid Support

  • Perform basic project takeoffs as needed to support estimating efforts.
  • Request and collect pricing from third-party suppliers (e.g., custom tanks, enclosures, ATSs, docking stations).
  • Assist in compiling bid documentation and supporting proposal development.

Market & Opportunity Research

  • Research and identify new project opportunities using bid platforms and databases (e.g., Dodge, COSTARS, and similar tools).
  • Support proactive identification of upcoming bid opportunities in the C&I power generation market.

Process & Coordination Support

  • Support consistent workflow processes across sales and engineering teams.
  • Assist in improving efficiency, accuracy, and turnaround time for RFQs and proposals.
  • Serve as a communication hub between sales, engineering, and operations teams during pre-sales activity.
  • Other duties as assigned

REQUIREMENTS:

  • Strong organizational and time-management skills with ability to manage multiple deadlines.
  • High attention to detail, especially in tracking RFQs, pricing, and documentation.
  • Proficiency in CRM systems (Salesforce or similar preferred).
  • Strong Excel and data management/reporting skills.
  • Ability to read and interpret basic technical drawings or construction documents (preferred).
  • Strong communication skills for coordination with internal teams and external vendors.
  • Ability to prioritize and manage high-volume workflow in a fast-paced environment.
  • Analytical mindset with ability to identify trends in pipeline and bid performance.
  • Familiarity with commercial/industrial construction or power systems is highly preferred.
  • Comfortable working cross-functionally with sales, engineering, and operations teams.

EDUCATION AND EXPERIENCE:

Required

  • High school diploma or equivalent
  • 2+ years of experience in one or more of the following:
    • Sales operations or sales support
    • Construction estimating or bid coordination
    • Project coordination in an industrial or technical environment
    • CRM/data management or pipeline administration

Preferred

  • Associate or Bachelor’s degree in Business, Engineering Technology, Construction Management, or related field

PHYSICAL REQUIRMENTS:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at a time.
