Job Description
Five Rivers Analytics, an Akima company, is looking to add to our existing team by adding a Clerical Support / Secretary at our Panama City, FL location. The Clerical Support Specialist will provide non-personal office support services up to the Controlled Unclassified Information (CUI) level. This role supports multiple departments within NSWC PCD and includes a wide range of clerical and administrative tasks.
Responsibilities
Serve as receptionist: greet visitors, answer calls, and direct inquiries appropriately.
Monitor and request office supplies, equipment repairs, and printing services.
Reserve meeting rooms and manage office calendars.
Maintain records, files, statistical data, and suspense systems.
Format and track official documents per government standards.
Use Microsoft Outlook and Teams for communication, identifying contractor status.
Prepare and collate monthly office reports.
Attend meetings to stay informed on office activities.
Take and manage meeting minutes for projects and programs.
Process visits requests and travel status documentation.
Design and maintain filing systems.
Receive, distribute, and edit correspondence and reports.
Draft various types of correspondence in accordance with SECNAV M-5216.5.
Assist with budget report preparation.
Organize clerical workflows across offices.
Maintain databases (e.g., plant and minor property) and update records.
Archive official records per SECNAV M-5210.1 CH-1 using Navy systems.
Additional Qualifications/Responsibilities
Qualifications
Must be a US Citizen able to undergo a thorough background check at both the local and federal level to include credit check in order to obtain a government clearance at a Secret level.
High school diploma or equivalent required.
Minimum of 1 year of work-related experience in a Clerical Support or Secretarial position.
Prior clerical or administrative support experience in a government or military environment preferred.
Experience supporting multiple teams or departments simultaneously.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Project).
Familiarity with government correspondence formats and records management systems preferred
Ability to manage electronic calendars and meeting logistics.
Strong written and verbal communication skills.
Ability to edit documents for grammar, punctuation, and format.
Excellent time management and multitasking abilities.
Strong attention to detail and accuracy.
Must be able to work full-time on-site.
Ability to maintain confidentiality and handle CUI-level information appropriately.
