We are seeking an Associate Project Manager to support the execution of medical communications projects, such as exhibits, patient programs, advisory boards, publications, speaker programs, and more under the direction of Project or Senior Project Managers. This role emphasizes coordination, organization, and accurate delivery of project components while building foundational skills in client service, project management, and agency operations.


The corporate office is located in Voorhees, New Jersey, just outside of Philadelphia. The role can be 100% remote, or partial in office, if desired.

Requirements:


Project Coordination & Execution

  • Assist in executing projects including exhibits, patient materials, advisory boards, meetings, teleconferences/webcasts, publications, clinical posters, newsletters, KOL development, speaker programs, and case studies.
  • Support project timelines, status updates, and internal tracking tools.
  • Prepare and organize project-related materials such as invitations, agendas, and correspondence.
  • Maintain accurate project documentation and reporting.


Faculty, Registration & Meeting Support

  • Assist with faculty communications, documentation collection, and logistics.
  • Support registration activities and meeting coordination for live or virtual events.
  • Aid in on-site or virtual program support as needed.
  • Cross-Functional Collaboration
  • Work with internal teams including Medical Strategy, Editorial, Creative, Meeting, IT, Fulfillment, and Accounting.
  • Escalate project issues, risks, or questions appropriately.
  • Budget Awareness & Professional Development
  • Participate in budget discussions to build awareness of project financials.
  • Develop foundational skills in project management, client service, and agency operations.

Additional Responsibilities

  • Conduct research, data entry, and internal documentation updates as needed.
  • Perform other duties supporting team and organizational goals.
  • Travel may be required (up to ~20%, including nights and weekends).
