SSVF Program Support Aide
Veteran Services / Supportive Services for Veteran Families (SSVF)
SUMMARY: The SSVF Program Support Aide assists all staff with case file maintenance, data entry, and monthly program reports; coordinates and documents staff meetings and trainings; maintains the SSVF Program Guide and other supporting documentation in a well-organized, current, and efficient manner. Ensures staff are provided updates to the SSVF Program Guide and our internal Policy and Procedure Manual. This role assists program leadership with the preparation of reports from multiple databases and prepares the Catholic Charities Executive Director Monthly Report/Summary for all SSVF staff members. This position works closely with the Program Administrator and reports to the Regional Program Coordinator.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Maintain case files in an orderly and organized fashion as directed for each Fiscal Year
• Ensure cases are immediately entered into the database (s), same day as enrolled, with efficiency and accuracy.
• Assure each case file and all client information is recognized and treated as confidential
• Coordinate with leadership in the development of training dates/spaces/agendas/materials, and acquire approval and reservation of the meeting location
• Maintain the “Master Program Guide” to include each Update provided by the Program Office / VA and notify staff of the updates, with electronic and hard copy updates available
• Make certain the Catholic Charities Internal Policy and Procedures Manual is kept updated and accessible to all SSVF staff members, notifying staff at once of any updates or changes to the P amp;P in collaboration with the Regional Program Coordinator, Compliance Specialist, and other staff
• Meet regularly with the Regional Program Coordinator to prepare various reports, ensuring that databases are maintained and current
• Assist with data collection from all staff and the preparation of the monthly Catholic Charities Executive Director Monthly Report/Summary
• Participate in Program and Agency trainings in collaboration with the Compliance Specialist.
• Attend all CoC required meetings and provide updates to SSVF staff
• Work closely with the Compliance Specialist for all matters pertaining to consistency
EDUCATION/EXPERIENCE:
• Experience in social / human services field is preferred
• Non-profit and /or veteran support services preferred
QUALIFICATIONS/SKILLS:
• Strong Interpersonal skills, with an emphasis on initiative, knowledge sharing, and team building.
• Excellent time management, written and oral communication skills
Pay Range $41,000 - $43,500
