Position Definition

This role supports the daily operations of the Day Program by assisting with program flow, participant engagement, supervising staff and participant engagement, and managing logistical needs across program areas. The Program Support Coordinator supports the effectiveness of the program by ensuring program spaces are prepared, activities are implemented as scheduled, participants receive consistent high-quality support/supervision throughout the day, and staff have the resources they need to be successful. This role works collaboratively with program staff to support transitions, troubleshoot day-to-day issues while coordinating with the Assistant Director, and help maintain consistency and engagement throughout the day. This position plays a key role in maintaining a structured, engaging, and responsive program environment by providing on-site supervision, addressing day-to-day operational needs, and supporting staff performance. The Program Support Coordinator works collaboratively with program staff and the Assistant Director to ensure continuity of services, effective communication, and alignment with program expectations.

Essential Functions & Responsibilities

  • Provide on-site operational oversight to ensure continuity of program services throughout the day
  • Supervise program staff during assigned shifts, including providing guidance, redirection, and real-time support as needed
  • Support program rooms by conducting regular check-ins to ensure activities are on schedule, staff are engaged, and individuals are appropriately supported
  • Assist with staff coverage to ensure participant needs and staffing ratios are met
  • Review daily census and attendance to anticipate staffing or space needs and maintain accurate record
  • Be present at building opening and closing to assist with coordination of arrivals and transportation issues
  • Assist during transitions between activities to ensure continuity and participant engagement
  • Serve as a point of contact for immediate program support needs
  • Provide direct support to participants as needed to maintain participation and positive program experiences
  • Communicate observations or emerging issues to Assistant Director and/or program leadership in a timely manner
  • Track any recurring program issues or needs and flag trends
  • Help coordinate room changes or coverage adjustments when needed
  • Serve as a go-to for quick questions about schedules, rooms, or daily plans
  • Model engagement strategies during activities
  • Step in to help re-engage individuals during downtime or transitions
  • Monitor program areas for safety, accessibility, and environmental concerns and report issues to appropriate leadership

Supervisory responsibilities:

  • Provide day-to-day supervision of assigned staff, including coaching, feedback, and support for performance expectations
  • Assist in training and onboarding new staff, ensuring understanding of program procedures and expectations.
  • Monitor staff adherence to schedules, program plans and organizational policies
  • Support documentation oversight by ensuring attendance, census data and required program records are completed accurately and on time
  • Complete or assist with monthly reports and other required administrative documentation as assigned
  • Maintain accurate records related to program operations, incidents, and staffing or activity adjustments
  • Perform other related duties as assigned to support program operations

Requirements:

Essential Qualifications

Education:

  • High school diploma or equivalent required.
  • Bachelor’s degree in Human Services or a minimum of five years of experience working with persons with developmental disabilities preferred

Other Requirements:

  • Ability to work cooperatively with individuals receiving services, their families, and staff.
  • Willingness to carry and respond to phone calls at all times
  • Must have no felony convictions listed on the Department of Mental Health disqualification registry unless an approved exception exists.

  • CPR, First Aid
  • Non-Violent Crisis Intervention
  • Universal Precautions
  • Lifting in-service
  • Medication Administration Course
  • Training on state/federal laws and organizational procedures
  • Annual updates to in-services or as notified
  • Valid Missouri chauffeur’s license within 2 weeks of employment
  • Completion of all required Management Training Curriculum
