Job description

Directs the administrative and fiscal affairs of a large complex department/division or multiple departments. Represents and speaks on behalf of upper management with the University Administration at all levels. Responsible for strategic planning, analysis/forecasting/budgeting, oversight, legal documentation, formal agreements, international and domestic project administration and management. May be required to manage major international collaborations by partnering with faculty and other staff entities on project writing development, personnel management, facilities/space planning, fiscal aspects of the program including grant proposals and grant administration (in conjunction with departmental administrators). Establishes administrative and financial systems for the department. Directs department staff as needed to ensure completion of major projects and tasks. May require international travel and may assist in interdepartmental collaborations.
Duties and Responsibilities :
  • Direct and manage the daily operations of all educational activities within the Department.
  • Provide daily management and oversight of all educational programs, ensuring effective coordination and execution of activities.
  • Establish program objectives and ensure alignment with department and institutional priorities.
  • Assign job duties and distribute workload strategically and equitably among staff based on program needs, staff capacity, and deadlines.
  • Assist staff in the completion of tasks and ensure the timely and accurate delivery of all program components.
  • Monitor multiple program areas simultaneously to ensure efficiency, effectiveness, and adherence to timelines.
  • Ensure that all educational programs and initiatives meet established priorities, deadlines, and performance expectations.
  • Develop processes and systems to track deliverables, milestones, and program outcomes.
  • Prepare and deliver various reports for the Education Program as requested by leadership.
  • Identify workflow challenges and implement solutions to improve operational efficiency and program effectiveness.
  • Supervise staff engaged in carrying out Education Program activities, including residency programs, clerkships, and primary care and rural health initiatives.
  • Provide leadership, direction, and ongoing support to staff to ensure clarity of roles, responsibilities, and expectations.
  • Evaluate performance, provide feedback, and implement development plans to support staff growth and program success.
  • Ensure appropriate allocation of staff effort and workload balance, maintaining productivity while preventing burnout.
  • Foster a collaborative, accountable, and high-performing work environment.
  • Serve as the liaison between programs and departmental leadership, ensuring consistent communication and coordination.
  • Provide support and representation for key programs, including: UAB-Cahaba Family Medicine Residency Program o UAB-Birmingham Family Medicine Residency Program o UAB Marshall Family Medicine Residency Program o Medical Student Education Program o Primary Care and Rural Health Program
  • Represent the department in meetings with leadership and stakeholders, with occasional travel to program sites as required.
  • Manage programmatic fiscal activities, including budget development, monitoring, and reporting.
  • Oversee financial planning and resource allocation to ensure programs operate within budget while meeting strategic objectives.
  • Support efforts to secure program funding and maintain financial sustainability.
  • Ensure appropriate stewardship of financial resources through regular review of expenditures and adherence to institutional policies.
  • Provide financial reports and insights to leadership to support informed decision-making.
  • Prepare comprehensive reports for each area of the Education Program, as requested by leadership.
  • Maintain accurate documentation of program activities, outcomes, and financial performance.
  • Communicate program status, challenges, and achievements clearly to leadership and stakeholders.
  • Perform other duties as assigned

Salary Range: $73,945 - $120,165
Qualifications
Bachelor's degree in a related field and ten (10) years of related experience required. Work experience may NOT substitute for education requirement.
