The Executive Assistant provides confidential, high-level administrative support to the Management Team, Board of Directors, and the Supervisory Committee. This visible, independent role manages executive and organizational responsibilities across recurring governance, regulatory, and operational deadlines, requiring strong time management and prioritization to balance routine deliverables with emerging requests.
What You'll Do:
  • Board & Executive Meeting Coordination - Prepare agendas, Board packets, presentations, reports, minutes, and governance communications.
  • Governance Portal & Document Management - Maintain Board portals and ensure policies, bylaws, calendars, committee materials, and governance documents remain accurate and accessible.
  • Executive Scheduling & Travel - Coordinate executive calendars, business travel, conferences, catering, and special events.
  • Recognition & Organizational Programs - Support recognition programs, coordinate speakers, manage invitations and materials, and monitor event budgets.
  • Research & Reporting - Conduct research and prepare statistical, financial, and operational reports.
  • Policy Management System Administration - Coordinate annual policy reviews, maintain policy records and revision histories, and generate compliance reports.
  • Project Tracking & Operational Support - Assist with project tracking, calendar reminders, report generation, and support organizational initiatives.
  • Records & Document Retention - Maintain executive records, historical files, scanning, auditing, and document retention processes.
  • Internal Audit Support - Prepare audit correspondence, assist with research, and support CUSO and ROC administrative needs.
  • Emergency Response Plan Support - Coordinate updates, testing, and periodic reviews to support business continuity readiness.
  • Executive Mail & Administrative Services - Oversee daily executive mail distribution and administrative support for leadership and the Board.
  • Vendor Contract & Due Diligence Support - Track vendor documentation, coordinate annual reviews, maintain contract records, facilitate communication with vendors and SMEs, and support the RFP process.
  • Member & Employee Experience - Cultivate a positive, respectful, and collaborative culture across the organization-fosters strong relationships among staff, departments, branches, and external partners. Champion a caring and inclusive environment for both employees and members, aligned with the Credit Union's mission and values.

Requirements
  • High school diploma required.
  • High level of professionalism, discretion, and sound judgment, with strict confidentiality when handling sensitive information.
  • Exceptional organizational, planning, and time management skills; able to manage competing priorities and deadlines.
  • Strong written and verbal communication abilities across all organizational levels.
  • Experience preparing executive correspondence, presentations, reports, and meeting minutes.
  • Ability to coordinate meetings, travel, events, and multiple projects simultaneously; event planning experience preferred.
  • Strong analytical and problem-solving skills with keen attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Access) and collaboration platforms.
  • Experience supporting executive leadership, boards of directors, or governance functions preferred.
  • Ability to work independently while fostering respectful, collaborative relationships with departments, branches, and Board members.
  • Flexibility to work occasional non-traditional hours to support meetings and organizational events.

This role is hybrid at our corporate office, with compensation ranging from $57,000-71,000 annually, based on qualifications and education.
