Established in 1858, the YWCA NYC is one of the nation's oldest nonprofit organizations committed to the personal and social development of women, their families, and their communities.? In honor of this history, and in service of our mission, the YWCA NYC currently provides leadership and advocacy training for young women through our Girls Initiatives program, and youth development through our Out-of-School Time (OST) program for elementary and middle school students in culturally diverse communities in Brooklyn and Manhattan.

Position Summaryย 

This role is positioned as a leadership partner to the Program Manager/Multisite supervisor, with responsibility to support program operations. The Program Manager Assistant strengthens operational oversight across sites, compliance, and quality assurance. This is a meaningful opportunity to join a growing organization dedicated to impacting the lives of youth and women in our city.ย 



Key Responsibilitiesย 

  • Assist with site operations across assigned locations: building permits, SACC licensing, staffing coverage, supplies, room setup, and logistics.ย 
  • Produce concise weekly compliance, enrollment, staffing, and program status updates for the Program Manager.ย 
  • Support hiring/onboarding: review applications, schedule screenings, track clearances, and required training.ย 
  • Compliance: maintain staff files, attendance records, drill logs, and documentation for DYCD/SACC/DOH audits.ย 
  • Family & school engagement: coordinate communications, support enrollment/outreach, and liaise with school staff.ย 
  • Data & administration: collect program data through surveys and other tools, update trackers (attendance, PAF status, budgets, training), assist with reporting, and manage calendar/meetings, manage DYCD connect reports.ย 
  • Support special projects as assigned (training weeks, Holiday Camp, recruitment events).ย 
  • Budget Management: Monitor site use of supplies and program funds; flag resource gaps and propose practical solutions.ย 
  • Support budget planning, purchase approvals, invoice review, and vendor coordination.ย 
  • Partnership Management: develop, maintain, and deepen partnerships with community organizations, contractors, and vendors to expand enrichment options and support.ย 
  • Manage partner agreements, scopes of work, scheduling, and logistics to ensure high-quality, non-duplicative services.ย 

Requirements

What We Are Looking Forย 

  • 2 or more years in executive support, project management, or program operations roles, ideally in after school settings.ย 
  • Flexible and willing to travel to multiple sites across Brooklyn, Manhattan and Queensย 
  • Strong organizational judgment and the ability to turn broad direction into concrete plans.ย 
  • Excellent written and verbal communication.ย 
  • Proven ability to manage multiple priorities and deadlines with minimal oversight.ย 
  • Discretion and sound judgment, especially with confidential and sensitive information.ย 
  • Proficiency with tools such as Microsoft Office, SharePoint or Google Drive, and CRM or reporting systems.ย
