Under immediate supervision of the Office Manager, Executive Assistant and/or Program Director provides a broad range of office support to program staff and management ranging from answering and directing phone calls, greeting clients, vendors and other visitors, handling faxes and mail, photocopying, maintaining and ordering office supplies, scheduling meetings and appointments, preparing correspondence and spreadsheets, preparing invoices for payment, preparing and maintaining tracking reports and files, Other areas of responsibility are shipping and receiving of mail and packages, Interoffice/Program distributions and communications, maintenance of copy and fax machines, as well facility/office work requests (e.g. building management, vendors, handyman - simple repairs, etc.) and special projects as needed.ย

ESSENTIAL FUNCTIONS AND REQUIREMENTS:ย 
โ€ข ย  ย Answers and directs phone calls and takes messages as appropriateย 
โ€ข ย  ย Greets visitors and directs to appropriate personย 
โ€ข ย  ย Prepares outgoing faxes and distributes incoming faxesย 
โ€ข ย  ย Photocopies a broad range of materialsย 
โ€ข ย  ย Schedules meetings and appointmentsย 
โ€ข ย  ย Types routine correspondence and prepares files as assignedย 
โ€ข ย  ย Maintain and order inventory of order suppliesย 
โ€ข ย  ย May pick-up meals for in-house meetingsย 
โ€ข ย  ย Assists in new hire set-up process for office or programย 
โ€ข ย  ย Maintain and ensures HIPAA, ethical standards and professional boundaries with all staff and clientsย 
โ€ข ย  ย Other duties as assigned or necessary to support the program, office and/or the companyย 
โ€ข ย  ย Any or all of above duties and responsibilitiesย 
โ€ข ย  ย Develops and maintains varied tracking reports, contracts and/or agreementsย 
โ€ข ย  ย May write own correspondence and prepares correspondence for managementย 
โ€ข ย  ย Interfaces with clients, vendors, visitors to schedule appointments and resolve office administration issuesย 
โ€ข ย  ย Occasionally assist or handles small office moves (office furniture)ย 
โ€ข ย  ย May handle or assist with billing to clients or MediCal and MediCare.ย 
โ€ข ย  ย Researches and prepares special projects as assignedย 
โ€ข ย  ย Maintain and ensures HIPAA, ethical standards and professional boundaries with all staff and clientsย

ย Knowledge, Skills and Experience:
โ€ข ย  ย One year work experience preferably in an office answering phones and providing general clerical support. Must have excellent phone manner, good arithmetic skills and good spelling, grammar and punctuation skillsย 
โ€ข ย  ย Intermediate level PC skills requiredย 
โ€ข ย  ย Excellent organizational skills, interpersonal skills, computer skills and communication skills are a mustย 
โ€ข ย  ย Ability to effectively prioritize and manage timeย 
QUALIFICATIONS:ย 
โ€ข ย  ย High School Diploma or GED with computer or business courses. Associateโ€™s Degree preferred in business or technical school.
