TITLE: Family Service Coordinator/Receptionist FLSA Status: Non-Exempt/Hourly

Center Coordinator

JOB SUMMARY

The Family Service Coordinator/Receptionist serves as the primary point of contact for families while supporting the daily operations of the center. This position coordinates family support services for children receiving early intervention, assists families in accessing resources, and provides administrative and receptionist support to ensure efficient front office operations. The position creates a welcoming environment for families, visitors, staff, and community partners while maintaining accurate records and supporting agency programs.

EDUCATION AND CERTIFICATIONS

High school diploma or equivalent required.

Associate's degree in Social Work, Early Childhood Education, Special Education, Human Development, Business Administration, or a related field preferred.

One year of family service coordination, administrative assistant, receptionist, or related experience required.

Three years of administrative or customer service experience preferred.

Current American Heart Association CPR certification or ability to obtain within 90 days of hire.

ESSENTIAL DUTIESFamily Service Coordination

Serve as the primary contact for assigned families by providing ongoing support, information, and communication.

Coordinate and participate in Individualized Family Service Plan (IFSP) meetings and other multidisciplinary team meetings.

Assist families in understanding developmental evaluations, service plans, available resources, and their rights.

Coordinate referrals for therapy and other support services as appropriate.

Support transition planning for children moving from early intervention to preschool services, including participation in Individualized Education Program (IEP) meetings when appropriate.

Maintain accurate case documentation and records in compliance with agency, state, and federal requirements.

Reception and Administrative Support

Serve as receptionist by greeting families, visitors, and community partners in a professional and welcoming manner.

Answer and direct telephone calls, respond to inquiries, and distribute messages.

Manage daily visitor and child sign-in/sign-out procedures.

Schedule Child Find screenings and assist with related documentation.

Arrange classroom and transportation coverage for staff absences.

Receive, distribute, and process incoming and outgoing mail.

Maintain program files, records, forms, and office correspondence.

Monitor office supplies and equipment, prepare purchase requisitions, and coordinate equipment maintenance.

Retrieve information and prepare reports or summaries as requested.

Maintain an organized, safe, and professional front office environment.

QUALIFICATIONS

Experience working with families of young children, preferably those with developmental delays or disabilities.

Knowledge of child development, early intervention services, and IDEA Part C preferred.

Excellent interpersonal, organizational, customer service, and communication skills.

Ability to manage multiple priorities while maintaining confidentiality and professionalism.

Proficiency with Google Workspace and standard office software; experience with electronic recordkeeping or case management systems preferred.
