Job description

Position Summary:
This position supports Penske Remarketing's sales-enabling vendor programs by managing the day-to-day coordination of activities across financing, equipment protection plans (EPP), vehicle delivery, and insurance programs. The Vendor Coordinator serves as the primary liaison between Penske's vendor partners - including Premier Financing, EPP providers, transporter vendors, and insurance brokers - and internal teams including sales, accounting, treasury, and customer experience. The role is responsible for ensuring efficient transaction execution, driving revenue through increased program participation, resolving post-sale customer issues, and developing and maintaining reporting tools and metrics to promote program growth and operational efficiency across all vendor-supported offerings.

Major Responsibilities:
Vendor Program Coordination & Workflow Management
Manage and monitor all transaction and service request stages across financing, EPP, vehicle delivery, and insurance programs
Serve as the primary liaison between vendor partners, customers, and the Penske sales team to ensure accurate and timely communication flow across all parties and programs
Manage cycle times to ensure consistent and efficient transaction execution across all vendor-supported programs
Monitor vendor portals and platforms to ensure data is current, clean, and accurate
Monitor vendor partners for compliance with Penske's procedures and program guidelines
Reporting & Analytics
Develop and maintain metrics to identify successes and opportunities for improvement across all vendor-supported programs
Maintain familiarity with program performance statistics and enhance reporting where necessary
Provide performance trend reporting and projections across all vendor programs to Penske and vendor partner management
Track invoice submission accuracy and accrual reconciliation across vendor programs
Analyze survey responses and provide recommendations for process efficiency
Leverage operational excellence tools and methodologies to support statistical analysis
Customer Experience & Issue Resolution
Interact with customers to ensure satisfaction across all sales-enabling product and service lines
Handle escalated customer service calls and issues related to financing, EPP, vehicle delivery, and insurance
Serve as the Customer, Vendor Partner, and Penske liaison for post-sale issues including refusal to pick up, buybacks, and hardship buybacks
Make decisions on when to waive termination fees and offer concessions to ensure customer satisfaction
Coordinate monthly and ad hoc customer surveys to obtain the voice of the customer (VOC)
Process Improvement & Development
Work to develop, streamline, and enhance processes across all vendor-supported programs including title management, lien securitization, and GPS installation
Develop IT requirements for new procedures and process development across vendor programs
Identify procedural opportunities for improvement across all sales-enabling programs
Assist with deliverables and research associated with current projects and procedures as directed by management
Prospect and investigate new ways to promote and grow vendor-supported program participation
Training & Coaching
Provide training to new sales associates on all vendor-supported programs including financing, EPP, vehicle delivery, and insurance
Coach sales representatives on how to effectively leverage vendor program relationships and advise on next steps across all programs
Complete assigned training modules on a regular basis including communication, customer experience, conflict resolution, and time management
Sales Support
Support all sales efforts including payment collection calls and other sales-related requests as directed by management
Assign leads and support sales-enabling activities via Salesforce across all vendor programs
Ensure consistent growth of all vendor-supported programs by finding creative ways to promote offerings

Qualifications:
High school diploma required; Associate's or Bachelor's degree preferred in Finance, Economics, Business Administration, or Business Management, or equivalent work experience
2-4 years of sales or customer service experience required
2+ years of administrative experience required
General understanding of automobile/commercial vehicle financing principles and variables involved in credit dispositions
Familiarity with equipment protection plans, vehicle delivery coordination, and insurance products beneficial
Ability to handle escalated customer service calls
Excellent communication and organizational skills required
Basic knowledge of commercial trucks and trailers beneficial but not required
Demonstrated ability to delegate assignments to associates and follow up effectively
Knowledge of process improvement and ability to think critically is a plus
Knowledge of general vehicle registration procedures, taxes, and vehicle purchasing is a plus
Proficiency in Microsoft Office required; advanced Excel skills essential as this position relies heavily on computer applications
Regular, predictable, full attendance is an essential function of the job
Willingness to travel as necessary, work the required schedule, and work at the specific location required
