Job description

Protrans Personnel Services is seeking a highly organized and proactive Return-to-Work & HSE Coordinator to support our commitment to employee wellbeing, workplace safety, and operational excellence.

Reporting to the HSE Manager, this role is responsible for coordinating the day-to-day administration of our Return-to-Work (RTW) and Stay-at-Work (SAW) programs while providing administrative support to the broader Health, Safety & Environment (HSE) function.

The successful candidate will act as the primary point of contact for employees recovering from occupational and non-occupational injuries or illnesses, guiding them through the return-to-work process while ensuring compliance with legislative, customer, and organizational requirements. In addition, the role supports safety reporting, training administration, documentation management, corrective action tracking, and continuous improvement initiatives related to Protrans' Safety Management System.

This position is ideal for someone who enjoys helping people, coordinating multiple priorities, improving processes, and working collaboratively with employees, operations, customers, healthcare providers, and regulatory partners.

  • 2-5 years of experience in return-to-work coordination, disability management, workers' compensation administration, occupational health and safety, or a related field

  • Experience with safety systems, regulatory documentation, or compliance reporting would be considered an asset

Skills & Knowledge

  • Working knowledge of workers' compensation legislation and return-to-work best practices

  • Strong administrative, organizational, and documentation skills
  • High attention to detail and ability to manage confidential information

Return-to-Work & Disability Management (70%)

  • Coordinate end-to-end Return-to-Work (RTW) and Stay-at-Work (SAW) processes
  • Complete case intake, documentation review, and file setup
  • Initiate timely contact with employees following workplace injury or illness
  • Maintain regular communication with employees throughout recovery and return to work
  • Coordinate modified duties and accommodation opportunities with customers and operational leaders
  • Develop, implement, monitor, and update RTW plans based on functional abilities and restrictions
  • Submit workers' compensation documentation within legislated timelines
  • Maintain confidential and accurate case records
  • Monitor claim status, case progress, and outstanding action items
  • Track barriers to return to work and collaborate with stakeholders to identify solutions
  • Liaise with employees, operations teams, customers, healthcare providers, insurers, disability management professionals, and workers' compensation boards
  • Support compliance with workers' compensation, human rights, and accommodation requirements
  • Generate RTW metrics, dashboards, and case status reports
  • Identify trends and opportunities to improve RTW outcomes and employee experience

HSE Administration & Program Support (30%)

  • Support the administration and maintenance of the Health & Safety Management System (SMS)
  • Maintain HSE records, documentation, forms, logs, and compliance trackers
  • Assist with incident reporting, data entry, and file quality reviews
  • Track corrective actions and follow up with responsible parties
  • Support safety training administration, record management, and compliance reporting
  • Assist with COR certification activities, document management, and audit readiness
  • Create and distribute safety communications, alerts, and toolbox talks
  • Support Joint Health & Safety Committee administration, including agendas, meeting minutes, and tracking action items
  • Assist with safety performance reporting and trend analysis
  • Monitor shared HSE inboxes and respond to routine inquiries
