Purpose of Job
The purpose of this job is to assist in planning, developing and evaluating programs in the Leisure Services Department for the Athens-Clarke County community. This position supports daily program activities, prepares materials and assures programs are maintained and staffed at an appropriate level. The position also manages front desk duties including answering telephones, program registration, handling paperwork and directing the public as needed.
Job Related Requirements
Work Schedule: General Schedule Weekdays: Monday, Tuesday, and Thursday 11:00 AM-8:00 PM based on class schedules with Wednesday and Friday 8:00 AM-4:00 PM. Summer schedules change to accommodate summer camps 8:00 AM-4:30 PM except for Mondays due to adult classes which convene until 7:00 PM. Rehearsal/Performance Schedule: 12:00 PM - 9:00 PM during rehearsals and productions. Will be required to work evenings and weekends based on the production and community event schedules.
May be required to work on religious holidays.
Regular and predictable attendance is required.
Must work cooperatively with others.
When requirements include vehicle operation, responsible for the safety, readiness and operation of the vehicle and must abide by ACC's safe driving policy.
Minimum Training & Experience Required to Perform Essential Job Functions
High school diploma with one year of recreational programming or related experience required; or any equivalent combination of education, training and experience which provides the requisite knowledge, skills, and abilities for this job.
Must possess a valid driver's license.
Must be certified in First Aid/CPR or have ability to attain within 6 months of employment.
Supervisory experience is preferred.
Essential Duties, Responsibilities
The following duties are normal for this job. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Assists with the planning, developing and evaluating of programs and special events for all age groups in the community.
This position would be the glue between the programs in exhibition/education areas and the public of ACC in that they would assist the department with an outreach calendar, graphic design and all promotion.
Recommends programming to meet community needs.
Maintains and processes records, and updates reports, flyers, publications and promotional materials for programs and the facility.
Instructs classes and/or conducts programs where necessary.
Maintains inventory of supplies and equipment and requisitions supplies for activities and events.
Assists with the coordination of volunteer needs, recruitment, training and recognition at assigned facility.
Prepares facility for programs and special events. Inspects and monitors facility buildings and grounds, and performs routine building maintenance as needed.
Assists all the staff in the large public events and contributes to the management of the physical plant as needed.
Assists with the management of daily operations of the facility and short and long-range program planning.
Manages all social media, e-newsletters, memberships.
Performs research for special projects, staff, and the general public.
Researches the needs for outreach and public relations.
Assists with website updates as needed. Transports participants to and from activities.
Assists with the enforcement of facility rules and regulations.
Serves as community resource person in programming and special events.
Performs other related duties as required.
When Assigned to East Athens Educational Dance Center (EAEDC)
This position reports to the Program and Facility Supervisor and is directly involved in dance education programming, theatrical productions, special events, and community outreach activities at the East Athens Educational Dance Center (EAEDC).
Serves as the primary customer service hub and first point of contact for EAEDC students, parents, instructors, and patrons, providing exceptional customer service and fostering a welcoming, professional environment.
Responsibilities include providing administrative and operational support for EAEDC dance programming, including single classes and the Accelerated Dance Program; managing promotions and marketing; and coordinating facility tours and rentals.
The essential function of this role is the coordination and support of programming activities. A background in choreography, dance instruction, rehearsal coordination, stage management, technical production support, or other forms of stagecraft is considered a valuable asset and may be utilized to enhance programming but is not required for the position.
Provides support for community educational activities, outreach initiatives, workshops, and special programs that expand access to dance and arts education.
Conducts ticket sales in person and via phone during weekday box office hours as scheduled, and assists with scheduling coverage for at-the-door sales for dance performances at both performance venues (EAEDC and Morton Theatre).
Prepares box office settlement documentation and ensures the safe deposit of program funds and related revenue.
Coordinates dance boutique sizing, ordering, and collection of funds, including ordering specialty apparel for parades and special events.
Provides services related to dance and performing arts programming in support of instructional classes, performances, and community special events, working closely with the Program Specialist and Facility Supervisor to assist with curriculum development, class execution, registration, and communication with program participants.
Coordinates schedules and timesheets for contract instructors, accompanists, volunteers, and program participants, including assisting with training and orientation when needed.
Acts as primary administrator for EAEDC's social media presence, mass mailing services including online newsletters, and website content related to EAEDC programming. Serves as point of contact and correspondence liaison with long-term donors and supporters, including providing seating coordination for the Annual Production.
Produces flyers, publications, and promotional materials for dance classes, performances, Accelerated Dance Program activities, and community events, in collaboration with the Program Specialist.
Enters classes and programs into registration and volunteer software and collects data for participation numbers, volunteer hours, ticket sales, and registration information for administrative reports and records.
Coordinates space usage, facility rentals, and performance logistics for EAEDC programming, communicating necessary details to staff. Assists with Scholarship applications.
Knowledge, Skills and Abilities
Knowledge of the principles, practices and procedures of assigned facility in the Leisure Services Department.
Knowledge of management and recreational practices, policies, and procedures as necessary in the completion of daily responsibilities.
