Kings View, a nonprofit leader providing behavioral health services to the underserved community, is currently seeking a driven Contracts Assistant (572) to join our mission to provide compassionate services to those with limited resources.  $21.50 - $22.81

The Contracts Assistant will provide technical administrative support within the Contracts department by assisting the Contracts Manager, reviewing contract documents closely for accuracy, preparing and distributing contract documents for execution, reviewing incoming and outgoing correspondence, maintaining and organizing physical and electronic contract files, preparing reports for both prime contracts and subcontract files.

How will I contribute

·         Gather information to help prepare draft contracts or agreements.

·         Verify proper documentation to process contracts and agreements.

·         Initiate documents to amend agreements.

·         Assist with proposal reviews by coordinating and scheduling meetings and obtaining needed documents.

·         Assist in the preparation of materials that explain contracting and agreement procedures.

·         Prepare statistical reports, correspondence, organize and draft terminations.

·         Research previous agreements, leases, current procedures, and regulations.

·         Maintain electronic databases and files used to track leasing or contract activity.

·         Capture the Contractual reportable fields previously identified by Kings View to assist in the renewal contract process for service line agreement.

·         Assist with organizing subcategories of operational agreements (e.g., Janitorial, Water Service, Security, etc.) and renaming them in a standardized way.

·         Develop metadata spreadsheet to use as a guide for entering into contract tracking system.

·         Reach out to vendor to acquire any missing contracts.

·         Cross check current trackers with contracts system entries.

·         Assist with computer-based insurance renewals, liabilities, seek and complete missing information by collaborating with other departments.

Assist with filing vehicle, property accident claims.

What I bring

  • Associate's degree: Business or related field.
  • 2+ years administrative support experience
  • Class C Driving License
  • Basic knowledge of contract/agreement processes/methods typical to diverse organizations.
  • Administrative and clerical procedures and systems such as word processing and data storage systems, filing and records management systems, and typical office procedures and terminology. Superior organization skills. Basic Data Entry – create Excel spreadsheets. Capture contractual reportable fields previously identified.
