Yearout Mechanical is a New Mexico based company specializing in the installation of mechanical and process systems for the commercial, government, manufacturing and industrial communities of New Mexico and Texas. Since our incorporation in August of 1964, Yearout Mechanical has consistently grown and expanded its capabilities, reaching its present position as the premier mechanical contractor in New Mexico. Position Overview Yearout is seeking an experienced Receptionist to support our company. This role is responsible for receptionist and clerical work for office personnel and scanning of all documents. The Receptionist position requires enthusiasm, a positive attitude, and attention to detail. The position will be accountable for the upkeep of communications via phone, fax, and email. The tasks are normally accomplished within well-defined procedures and time limits, with occasional non-routine work involved. Organization, initiative, and time management skills must be exercised in work related tasks. This position requires close coordination with internal and external teams to ensure successful delivery of work.

Key Responsibilities

  • Greets and screens incoming people at the front receptionist area.
  • Professionally answers and distributes all incoming phone lines within 3 rings.
  • Responsible for scanning, and routing accounting documents including but not limited to invoices, statements, receipts, certificates of insurance, and other miscellaneous items into our system daily. Scanned items then attached digitally utilizing Sage Paperless software. Works closely with Accounts Payable staff.
  • Has a working knowledge of office equipment, calls for repairs and maintenance when needed.
  • Assists with preparation for and onboarding of new employees.
  • Maintains all aspects of the incoming and outgoing mail and postage machine.
  • Coordinates FedEx, UPS, and US Postal Service shipments and maintains shipping supplies.
  • Prepares and maintains an accurate office supply inventory including personal protection equipment.
  • Keeps tracking records for supplies, printer and copier ink, packages and other items as needed.
  • Maintains front office, breakrooms and conference rooms.
  • Assists all personnel and Managers with various clerical duties and special projects as directed.

    • 3+ years of experience in a related area, or project environment.
    • Demonstrated experience and strong understanding of Microsoft office and Microsoft Teams.
    • Experience working in multi-disciplinary teams and client-facing environments.
  • Technical & Professional Skills
    • Proficient in the use of phone system, copiers, fax machines, postage machine, and other general office equipment
    • Ability to direct calls, manage call queues, and utilize Teams calling features to handle incoming and outgoing business calls.
    • Strong written and verbal communication skills
