METTLER TOLEDO RECLAIM is a rapid response third-party product inspection company that specializes in creating customized inspection solutions for customers with inventories suspected of containing foreign materials and product defects. Our industry-leading X-ray detection technology, combined with proven data capture/reporting, and immediate response practices, allows us to supply quality inspection services to our customer base across North America. Regionally rapid deployment of mobile inspection equipment with highly trained and qualified personnel to customer sites for inspection applications allows our customers to reduce costs of reinspection and maintain control within their internal food safety program.
The Product Project Coordinator is responsible for supporting the commercial and operational activities of the X-ray Reclaim business by coordinating customer inquiries, quotations, contracts, project documentation, customer onboarding, reporting, and administrative processes. Serving as a key liaison between customers, sales, operations, and finance teams, the Product Project Coordinator ensures timely and accurate execution of all sales support activities while maintaining a high level of customer service.
The Product Project Coordinator plays a critical role in supporting revenue growth by managing lead and opportunity administration, preparing proposals and service agreements, maintaining CRM and sales records, coordinating project documentation, and assisting with customer communications throughout the sales and project lifecycle. This position helps ensure that customer requests are processed efficiently, information is accurately maintained, and commercial activities are executed in accordance with X-ray Reclaim procedures and business objectives.
The role requires exceptional organizational skills, attention to detail, professionalism, and the ability to work effectively in a fast-paced environment supporting both emergency response projects and strategic business development initiatives. What you will do
  • Serve as the primary administrative support resource for X-ray Reclaim sales, operations, and customer service activities in a fast-paced, global environment.
  • Act as a central coordination point for customer inquiries, service requests, and lead opportunities, ensuring timely tracking, prioritization, and follow-through.
  • Prepare, distribute or follow-up quotations, proposals, service agreements, contracts, purchase orders, and supporting commercial documentation with a high degree of accuracy.
  • Coordinate customer onboarding activities, including vendor registrations, confidentiality agreements, insurance documentation, and compliance requirements.
  • Maintain CRM systems, sales pipelines, customer records, project files, and commercial databases to ensure data accuracy, integrity, and real-time accessibility.
  • Support the preparation and distribution of Inspection Studies, validation reports, project reports, customer presentations, and sales materials.
  • Assist with complex scheduling activities between customers, Operations Management, Inspection Officers, and field personnel ensuring alignment and efficient resource utilization.
  • Assist with project setup, including work orders, project documentation packages, and facilitating internal and external communications.
  • Proactively monitor quotation, proposal, and contract status to ensure timely customer follow-up, approvals, and conversion to booked business. Generate routine sales, operational, and business performance reports for management review.
  • Coordinate invoicing support activities, including verification of project documentation, purchase orders, billing requirements, and customer records.
  • Support business development initiatives, customer outreach campaigns, trade shows, customer presentations, and lead generation activities.
  • Maintain document control and filing systems for customer contracts, inspection reports, validation studies, and operational records.
  • Communicate professionally with customers, suppliers, contractors, and internal stakeholders to ensure a high level of customer satisfaction.
  • Identify and drive continuous improvement opportunities in administrative processes, reporting accuracy, workflow efficiency, and customer responsiveness. Safeguard confidential customer, operational, financial, and proprietary business information in accordance with company policies and global data protection standards. Support cross-functional collaboration and contribute to a scalable administrative infrastructure that supports business growth
  • Perform other duties and responsibilities as assigned by management.

  • Experience in customer service, sales administration, project coordination, logistics, operations support, or business administration is preferred.
  • Post-secondary education in Business Administration, Sales, Marketing, Operations, Supply Chain, or a related field is preferred; equivalent combinations of education and experience will be considered.
  • Experience supporting food manufacturing, industrial equipment, technical services, logistics, or field service organizations is considered a strong asset

Travel
  • Primarily office-based role supporting commercial, operational, and administrative functions
  • Frequent interaction with customers, sales, operations, finance, logistics, and management via phone, email, video, and in-person
  • Work breakdown: ~80% office work, 15% standing/walking, 5% light lifting, filing, or material handling
  • Requires ability to manage multiple priorities in a fast-paced environment with strong accuracy, professionalism, and customer focus
  • Limited travel required for customer visits, trade shows, sales meetings, training, and company events
  • Occasional site visits to customer locations, inspection facilities, and distribution centers
  • Must have a valid driver's license and ability to travel as needed
  • Overnight travel is infrequent but may be required periodically
