Summary
 
The Operational Procurement Specialist / Operational Buyer is responsible for proactively managing raw material suppliers to ensure material requirements and production plans are achieved effectively. This role supports procurement operations by maintaining accurate procurement master data in SAP, ensuring reliable Material Requirement Planning (MRP), and driving efficient purchase order processes. The individual will work closely with category managers, strategic buyers, vendors, Accounts Payable, and cross-functional stakeholders to support supply strategies, resolve operational issues, improve supplier performance, and ensure smooth procurement activities.
 
Responsibilities
  • Manage supplier performance by monitoring delivery schedules, quality compliance, and overall vendor responsiveness while providing feedback to strategic buyers and category managers.
  • Support supplier transitions and procurement initiatives led by category management and strategic sourcing teams.
  • Maintain and update vendor master data, material information, and outline agreements in SAP to ensure procurement accuracy and effective MRP execution.
  • Handle Level 2 vendor escalations related to delivery commitments, purchase order confirmations, pricing discrepancies, shipping concerns, and supply interruptions.
  • Work closely with vendors to expedite deliveries, adjust delivery schedules based on production requirements, and resolve operational procurement issues in a timely manner.
  • Conduct regular open order review meetings with suppliers to ensure continuity of supply and resolve outstanding procurement concerns.
  • Drive vendor performance improvements related to on-time delivery, quality standards, and compliance requirements.
  • Manage vendor return processes including RMA handling, replacements, and cost recovery activities.
  • Collaborate with Accounts Payable to resolve invoice discrepancies and payment-related inquiries.
  • Support internal stakeholders in onboarding and approving new suppliers and raw materials while participating in competitive bidding activities and RFx processes as required.
  • Negotiate low-value supplier agreements and assist in implementing procurement strategies that align with business objectives.
  • Additionally, provide guidance and training to junior team members and support overall team development initiatives.
Required Qualifications
  • Bachelor’s Degree required
  • Proven procurement and operational purchasing experience, within direct/raw materials procurement environments is mandatory.
  • Should have experience handling Purchase Order (PO) confirmations, supplier follow-ups, and delivery coordination.
  • Experience working in GMP-regulated environments within Biotech, Life Sciences, Pharmaceutical, or Food industries.
  • Strong understanding of procurement operations, supplier management, and the Purchase Requisition to Purchase Order (PR-to-PO) process.
  • Hands-on experience working with ERP systems like Oracle, NetSuite, or multiple ERP platforms is required.
  • Ability to manage supplier escalations, pricing discrepancies, shipping issues, and delivery performance effectively.
  • Experience conducting competitive bidding processes and supporting supplier negotiations.
  • Strong communication, customer service, and stakeholder management skills with the ability to manage multiple priorities simultaneously.
  • Ability to influence suppliers and drive favorable business outcomes.
  • Proficiency in Microsoft Office applications.
  • APICS certification or equivalent MRP Planner certification is preferred.
  • Positive attitude, adaptability, and willingness to learn new systems and processes.
