Job Summary:
We are seeking a detail-oriented and proactive Procurement Specialist to manage supplier relationships, oversee procurement activities, and ensure timely delivery of hardware and materials across various locations. This role will be responsible for the full vendor lifecycle, from onboarding through purchase order (PO) creation, reconciliation, and payment. The Procurement Specialist will also track key delivery metrics and ensure alignment with operational needs through regular reporting and stakeholder engagement.
Key Responsibilities:
Vendor and Procurement Management:
  • Manage the end-to-end vendor onboarding process, ensuring seamless integration into procurement systems.
  • Oversee PO creation, processing, and backlog management.
  • Ensure invoices on hold are reconciled promptly and accurately.
  • Track and maintain purchase order status to ensure timely delivery.

Tracking & Metrics:
  • Develop and monitor procurement and delivery metrics using Smartsheet or similar tools.
  • Maintain tracking of orders, ensuring transparency for all stakeholders.
  • Provide regular reporting on procurement performance and vendor compliance.

Logistics and Delivery Oversight:
  • Track shipments, verify order placement, and confirm deliveries.
  • Follow up with suppliers, logistics teams, and internal stakeholders to ensure smooth procurement operations.
  • Proactively identify potential delays and work with vendors to resolve issues efficiently.

Risk Management and Issue Resolution:
  • Identify and mitigate procurement risks related to order fulfillment and vendor performance.
  • Work closely with cross-functional teams to address vendor-related challenges and improve efficiency.
  • Ensure all procurement and vendor management processes align with operational standards.

Qualifications & Skills:
Must-Have Qualifications:
  • Experience in supply chain risk management.
  • Proficiency in Smartsheet, Excel, or similar tools for tracking and reporting.
  • Strong understanding of purchase order creation and tracking.
