Administrative Associate: Shipping & Procurement

Pay: $23.00–$26.00/hour, based on experience
Schedule: Monday–Friday | 8:00 AM–4:00 PM
Location: Tallmadge, OH

About the Position

Our client is seeking an experienced and highly organized Administrative Associate: Shipping & Procurement to support daily shipping and order-processing activities.

This is not a warehouse or production position. The role is entirely office-based and focuses on shipping documentation, invoicing, ERP updates, recordkeeping, customer communication, and coordination between departments.

Key Responsibilities

  • Coordinate and schedule daily customer shipments.
  • Prepare shipping paperwork, invoices, certificates, and supporting documents.
  • Process domestic orders and ensure they are ready to ship on time.
  • Create, update, and maintain Device History Records and shipping reports.
  • Upload shipments and complete order transactions in the ERP system.
  • Prepare documentation for Quality review.
  • Email invoices and requested shipping documents to customers.
  • Respond to requests for revised paperwork, replacement invoices, and open invoice reports.
  • Review purchase order changes, including revised dates, quantities, and requirements.
  • Complete purchase order closeout procedures.
  • Maintain accurate electronic and hard-copy filing systems.
  • Update daily sales reports and reconcile monthly results with Accounting.
  • Research and correct reporting or invoicing discrepancies.
  • Provide front desk and telephone coverage when needed.
  • Work closely with Quality, Sales, Purchasing, Accounting, and other departments.
  • Prepare upcoming orders in advance to help prevent shipping delays.

Qualifications

  • Previous experience in shipping administration, procurement, purchasing, logistics, order processing, or a related administrative role is required.
  • Strong typing, data entry, and general computer skills.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Experience using ERP or inventory management systems.
  • Experience with handheld scanners is preferred.
  • Strong organizational and document-management skills.
  • Excellent attention to detail and accuracy.
  • Professional customer service and communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Previous management, supervisory, or leadership experience is a plus.
