Position Summary
Hometrack Real Estate Marketing is seeking an experienced Office Manager to oversee day-to-day internal operations and serve as a key support partner to executive leadership. As a fast-growing real estate photography and marketing company serving agents and brokerages across multiple states, we require an organized, dependable operator who can manage internal workflows, hold team members accountable, and ensure daily execution runs consistently and efficiently.
This position works directly alongside the CEO and Sales & Operations Manager, taking operational ownership of internal functions so that leadership can remain focused on business development, client growth, and strategic priorities. The ideal candidate brings proven experience in team coordination, administrative leadership, and process management within a fast-paced service environment.
Key Responsibilities
Team Operations & Accountability
  • Manage and coordinate daily operations across internal departments, including scheduling, production, design, and administrative support
  • Serve as the primary point of contact for team questions, internal priorities, and day-to-day operational matters
  • Hold team members accountable to performance standards, deadlines, and company expectations
  • Conduct regular one-on-one meetings with staff to review progress, address concerns, and reinforce alignment with company goals
  • Support hiring, onboarding, and performance management processes for employees and contractors

Executive & Leadership Support
  • Provide direct operational support to the CEO and Sales & Operations Manager, reducing executive workload on day-to-day execution
  • Manage the CEO's calendar, scheduling priorities, and coordination of internal projects
  • Ensure leadership decisions and company initiatives are clearly communicated and implemented across departments
  • Assist with internal reporting, project follow-up, and cross-departmental alignment

Departmental Coordination
  • Support day-to-day coordination across internal production and creative departments
  • Monitor project timelines, workload distribution, and delivery quality across assigned departments
  • Facilitate communication between department leads to ensure priorities and deadlines are met
  • Surface operational issues and bottlenecks to leadership with clear context and recommended next steps

Systems, Process & Technology
  • Maintain and support CRM systems, scheduling platforms, and internal operational documentation
  • Identify recurring process inefficiencies and recommend scalable solutions
  • Support the development and implementation of SOPs, workflows, and operational standards
  • Actively utilize AI-driven tools and automation to reduce manual tasks, improve communication, and increase team productivity

Client Experience & Service Quality
  • Support internal teams in maintaining consistent, high-quality service delivery standards
  • Assist with operational escalations, scheduling conflicts, and client-facing workflow issues as they arise
  • Monitor service delivery processes to ensure efficiency, accuracy, and client satisfaction

Qualifications
  • Minimum of 2 years of experience in office management, team leadership, or a related supervisory role
  • Proven ability to manage and hold a team accountable in a professional setting
  • Strong organizational skills with a consistent record of follow-through and attention to detail
  • Experience supporting executive leadership or working directly alongside senior management
  • Comfortable working with CRM systems, scheduling software, and basic workflow platforms
