Job description

Henniges Automotive has a current opportunity for an Executive Assistant to the Executive Leadership Team (ELT). This is a critical role that provides high-level administrative and strategic support to the Executive Leadership Team by managing and prioritizing a wide range of confidential matters, communications, and executive initiatives. The Executive Assistant serves as a trusted partner to the CEO and supports the ELT through proactive coordination, sound judgment, and exceptional organizational skills. Success in this role requires professionalism, discretion, and the ability to build positive working relationships across diverse cultures, departments, and all levels of the organization.


Qualifications/Requirements

  • Manage and maintain the CEO/ELT’s complex calendar, including scheduling meetings, appointments, travel, and events.
  • Coordinate domestic and international travel arrangements, itineraries, accommodations, and expense reporting as requested.
  • Prepare, edit, and proofread correspondence, presentations, reports, agendas, and other executive-level documents.
  • Handle highly confidential and sensitive information with professionalism and discretion.
  • Prioritize and manage incoming communications, including emails, calls, and meeting requests.
  • Coordinate and support ELT meetings, Board meetings, and strategic planning sessions.
  • Prepare meeting materials, record meeting minutes, and track follow-up actions and deliverables.
  • Assist with special projects, strategic initiatives, and cross-functional coordination on behalf of the CEO.
  • Monitor deadlines and ensure timely completion of key initiatives and executive priorities.
  • Build and maintain positive working relationships across all levels of the organization and with external partners.
  • Maintain organized electronic and physical filing systems and executive records.
  • Research, compile, and analyze information to support executive decision-making.
  • Coordinate company events, leadership meetings, and executive functions as needed.
  • Ensure professionalism and exceptional customer service in all interactions representing the Office of the CEO/ELT.
  • Manage vendor relationships, invoices, and purchasing related to executive operations when applicable.
  • Recommend and implement process improvements to increase efficiency and effectiveness within executive operations.
  • Additional projects as assigned.
  • Must be legally authorized to work in the United States without company sponsorship.
  • Local candidates only.


Education and Experience

  • Minimum: Knowledge that is normally acquired through the completion of an Associate degree in General Business or similarly accredited two-year program.
  • Minimum: Knowledge and skills typically acquired through 7-plus years of experience in supporting a global executive staff.
  • Notary certification is preferred.


Skills and Abilities

  • Proficient verbal, written and presentation skills; Communicates clearly, with credibility and confidence.
  • Communicates effectively (verbally and in writing) with individuals at all levels, inside and outside the company.
  • Well-developed organization and planning skills (typically acquired through at least 5 years of experience).
  • Competent in multi-tasking (i.e. the ability to prioritize and manage multiple tasks, issues or projects that may include high-visibility initiatives and require innovation, teamwork and planning).
  • Proficiency in the following software applications: Microsoft Office including Word, Excel, PowerPoint, Plex, CoPilot (AI) and Outlook, sufficient to apply and/or support the application with minimal instruction or guidance; this level of proficiency is typically attainable through 5-plus years of substantive experience with the applications.
  • Flexibility and the ability to work with shifting priorities; embrace new/evolving responsibilities.
  • Balances multiple demands from superiors, subordinates, and/or peers in a positive and even-handed fashion; displays a calm demeanor under pressure.
