About The Role
MemryX is looking for an Administrative / Executive Assistant to provide high-level administrative and operational support to the CEO while helping maintain efficient day-to-day office operations at our Ann Arbor headquarters. This role is ideal for a highly organized, proactive professional who thrives in a fast-paced startup environment, anticipates needs before they arise, and enjoys balancing executive support with broader office coordination responsibilities. This is a fully onsite role based in Ann Arbor, Michigan.
What You'll Do:
  • Provide dedicated executive support to the CEO, including complex calendar management, meeting coordination, and prioritization of competing demands
  • Manage scheduling on behalf of the CEO, including internal meetings, external partner meetings, investor discussions, and customer engagements
  • Coordinate domestic and international travel arrangements, including flights, hotels, transportation, itineraries, visas (as needed), and travel logistics
  • Prepare and reconcile expense reports and ensure timely submission and tracking of reimbursements
  • Serve as a gatekeeper for the CEO's time by managing meeting requests, prioritizing communications, and ensuring alignment with business priorities
  • Coordinate executive meetings, leadership team meetings, board-related logistics, and company events as needed, including agendas, meeting materials, and follow-up action items
  • Support preparation of presentations, reports, correspondence, and other business materials
  • Assist with confidential and sensitive information while maintaining a high degree of discretion and professionalism
  • Manage day-to-day office operations for the Ann Arbor headquarters, helping ensure the office runs efficiently and professionally
  • Coordinate office vendors, supplies, deliveries, facilities-related needs, and workplace organization
  • Support onsite employee and visitor experience, including welcoming guests and coordinating meeting logistics
  • Partner cross-functionally with internal teams including HR, Finance, Operations, and Leadership to support administrative initiatives
  • Help organize company events, leadership offsites, employee meetings, and special projects
  • Anticipate executive and office needs proactively, identifying opportunities to improve efficiency and streamline processes
  • Provide additional administrative support and special project coordination as assigned

What We Expect to See:
  • 5+ years of experience supporting senior executives, C-suite leaders, or executive teams in an Executive Assistant, Administrative Assistant, or similar role
  • Experience supporting fast-paced environments, preferably within a startup, technology, semiconductor, or high-growth company
  • Strong experience managing complex calendars, travel coordination, meeting logistics, and executive priorities
  • Excellent organizational skills with exceptional attention to detail and ability to manage multiple priorities simultaneously
  • Strong written and verbal communication skills with a high level of professionalism
  • Ability to handle confidential and sensitive information with discretion and sound judgment
  • Demonstrated ability to work independently, anticipate needs, and solve problems proactively
  • High level of proficiency with Microsoft Office, Google Workspace, calendar management tools, expense systems, and video conferencing platforms
  • Strong interpersonal skills and ability to interact effectively with executives, employees, external partners, customers, and investors
  • Must be able to work onsite at MemryX's Ann Arbor, Michigan office
