Recruiting Coordinator
Job Description:
HITT Contracting is seeking a highly organized and detail-oriented Recruiting Coordinator to support our national recruiting function and help drive a consistent, high-quality hiring process across the business. This role is based on site in our Falls Church, VA headquarters.
As HITT continues to grow across markets and project types, the recruiting function plays a critical role in enabling that growth. This position is a key investment in strengthening the operational foundation of our recruiting team-ensuring processes run smoothly, stakeholders are supported, and candidates have a seamless and exceptional experience.
The Recruiting Coordinator will provide centralized support across the team, partnering closely with recruiters, hiring managers, and business leaders across our 16 offices nationwide. This role is responsible for coordinating interview activity, managing requisition and job description processes, supporting vendor coordination and billing, and ensuring accuracy and consistency across recruiting systems and workflows.

Responsibilities
Interview Coordination & Candidate Experience
  • Coordinate and schedule interviews across multiple regions, time zones, and stakeholder groups
  • Serve as a primary point of contact for candidates throughout the interview process, ensuring a professional, timely, and positive experience
  • Manage logistics for interviews (virtual and onsite), including calendar coordination, travel arrangements (if applicable), and interview materials
  • Ensure clear communication and alignment between candidates, recruiters, and hiring teams

Requisition & Job Description Management
  • Support the creation, opening, and maintenance of requisitions in Workday
  • Partner with recruiters and HR to ensure job descriptions are accurate, consistent, and aligned with business needs
  • Maintain and organize a library of job descriptions, ensuring version control and standardization across roles
  • Assist with updates to job postings and ensure alignment across internal and external platforms

Recruiting Operations & Process Support
  • Maintain accurate candidate data and activity tracking within the applicant tracking system (Workday)
  • Support offer process coordination, including documentation and system updates
  • Assist in developing and improving recruiting processes, templates, and workflows to increase efficiency and consistency
  • Help ensure adherence to recruiting processes, compliance requirements, and data integrity standards

Data, Reporting & Recruiting Insights
  • Support the tracking and reporting of key recruiting metrics, including vacancy reporting, pipeline activity, and hiring progress
  • Prepare and maintain recurring reports (e.g., weekly vacancy report), ensuring accuracy and timely distribution to stakeholders
  • Assist in the development of materials and insights for leadership reporting, including mid-year and annual business reviews
  • Partner with the Workday team to enhance data quality, reporting capabilities, and recruiting dashboards
  • Identify opportunities to improve data capture, reporting consistency, and visibility into recruiting performance
  • Support ad hoc reporting and analysis requests from recruiting and HR leadership

Vendor Coordination & Billing Support
  • Support management of recruiting vendors (e.g., job boards, agencies, background check providers)
  • Track and process invoices, ensuring accuracy and timely submission in partnership with Finance
  • Maintain visibility into vendor usage, contracts, and spend across the recruiting function

Team & Stakeholder Support
  • Serve as a central point of coordination for the recruiting team, helping manage day-to-day needs and priorities
  • Partner with recruiters to support hiring activity across multiple markets and business units
  • Assist with team initiatives related to process improvement, employer branding, and recruiting operations
  • Provide flexible support across the team based on hiring volume and business priorities

Qualifications
  • Bachelor's degree preferred
  • 2-3+ years of experience in recruiting coordination, HR, operations, or administrative support (high-volume or fast-paced environment preferred)
  • Strong organizational skills and exceptional attention to detail
  • Proven ability to manage multiple priorities and deadlines with accuracy and efficiency
  • Experience working with data, reporting, or metrics tracking preferred
  • Strong Excel skills and comfort working with data sets and reports
  • Experience with an applicant tracking system required; Workday experience strongly preferred
  • Excellent communication and interpersonal skills, with a strong customer service mindset
  • Ability to work effectively with a wide range of stakeholders across different regions and levels of the organization
  • Proactive, resourceful, and solutions-oriented approach to problem-solving
  • High level of professionalism, discretion, and follow-through

In accordance with Virginia Senate Bill 215 (SB 215), the base salary range for this position is:
$67,000.00 - $87,000.00
Compensation in other cities and states may vary. HITT Contracting offers a competitive total benefits and compensation package including performance-based bonuses, premium health care coverage including vision and dental, employer-matched 401(k), wellness reimbursement program, paid holidays and time-off, and other voluntary benefits and leave types. The determination of salary is based on the candidate's individual professional experience, qualifications, education, skills, and training.
