Executive Coordinator, Office of the CEO


Position Overview:

The Executive Coordinator is a key member of the Executive Office, providing proactive, high-level administrative, operational, and strategic support to the CEO, Executive Team and Board of Advisors. This role acts as a central point of coordination across the organization-managing information flow, supporting executive decision-making, and ensuring seamless execution of corporate priorities, initiatives, and events. The Executive Coordinator is exposed to confidential material and requires a candidate with an experienced understanding of working with executive, owner levels. In the absence of the CEO the Executive Coordinator would be the main point of contact and responsible for the coordination of all information.

Key Responsibilities:

  • Serve as a strategic partner to the CEO, Executive and Board of Advisors, ensuring they are informed of priorities, commitments, and emerging issues, and proactively following up on key actions.
  • Manage day-to-day operations of the Executive (CEO) Office, including calendar management, communications (email, phone, meetings), and administrative coordination with a high degree of confidentiality and discretion.
  • Coordinate senior-level meetings, including Board of Advisors, Executive and Senior Management, and Operations meetings-developing agendas, preparing materials, recording minutes, and tracking action items.
  • Support corporate events and plan strategic initiatives, including quarterly and annual planning sessions, leadership meetings, and support enterprise-wide programs.
  • Development and maintenance of a rolling 12-month Corporate Calendar, ensuring alignment with strategic objectives and organizational priorities.
  • Support the preparation and delivery executive-level presentations, briefing materials, and meeting packages for internal, client, and external stakeholders.
  • Support the preparation and submission of proposals, bids, and key corporate deliverables requiring executive oversight.
  • Maintain and oversee Corporate Action Logs, ensuring accountability, progress tracking, and ongoing communication with senior leadership.
  • Act as a central hub for information-collating, analyzing, and distributing relevant updates to support informed decision-making.
  • Conduct research, prioritize incoming issues, and recommend appropriate actions, responses, or referrals on behalf of the executive team.
  • Build and maintain strong cross-functional relationships, facilitating effective communication and collaboration across departments.
  • Maintain a strong understanding of interdepartmental processes and operations to support coordination and organizational effectiveness.
  • Provide support for multi-stakeholder initiatives and special projects led by the CEO.
  • Coordinate budget-related activities, including tracking, reconciliation, expense processing, and reporting.
  • Plan and support departmental and corporate events, ensuring seamless logistical execution.
  • Prioritize competing demands in a fast-paced environment, managing shifting deadlines while ensuring high-quality and timely outcomes.
  • Represent the Office of the CEO with professionalism, discretion, confidentiality, and strong judgment.
  • Perform additional duties as required to support executive operations and organizational effectiveness.

Qualifications & Experience:

  • Degree in Business Administration or a related field is preferred.
  • Valid Class 5 Drivers License
  • Highly collaborative, with the ability to work effectively with executive leadership and cross-functional teams.
  • Strong technical proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and Adobe tools.
  • Exceptional written and verbal communication skills.
  • Proven ability to manage multiple priorities, stakeholders, and deadlines in a fast-paced environment.
  • Strong organizational, analytical, and problem-solving skills, with keen attention to detail and accuracy.
  • Demonstrated ability to work independently, exercise sound judgment, and maintain strict confidentiality.
  • Experience preparing executive-level presentations, reports, and briefing materials.
  • Service-oriented with excellent interpersonal and relationship-building skills.
  • Strong time management skills, with the ability to set realistic deadlines and adapt to changing priorities.
  • Experience supporting senior executives or acting as a gatekeeper/primary point of contact is an asset.
