Position Summary

PrideStaff is seeking a highly detail-oriented and proactive Administrative & Order Processing Coordinator for a growing business in Bend.

  • Core focus on accurate data entry, ERP administration, and customer order processing.

  • Prepare, pack, and ship customer sample requests directly from the office.

  • Maintain office organization, file electronic records, and handle routine phone coverage.

  • Support invoicing, trade show administration, and light shipment coordination as training progresses.

Key Responsibilities

  • Accurately enter, review, and maintain customer, lead, and order information using SAP and internal systems.

  • Process customer orders, verify details, and prepare shipping documents, proforma invoices, and customer invoices.

  • Receive, pack, and ship sample requests from the office while coordinating shipping records and documentation.

  • Support general office administration, including phone coverage, document management, calendar tracking, and ordering supplies

  • Track trade show administrative deadlines and enter new trade show or website leads into the system.

  • Coordinate light logistics, tracking shipments, and communicating basic updates with carriers and warehouses.

  • Review data and documentation for accuracy, correcting discrepancies or escalating complex issues to Operations.

Qualifications & Requirements

  • 3+ years of experience in administrative support, order processing, office operations, or data entry.

  • Strong proficiency in Microsoft Word, Excel, and Adobe Acrobat (PDFs).

  • Experience with SAP Business One or a similar ERP system is strongly preferred.

  • Exceptional attention to detail, strong communication skills, and excellent follow-through.

  • Ability to work independently in a fast-paced environment with shifting priorities.

  • Ability to lift up to 60 lbs to assist with sample packaging and shipping.
