Job description

Private Estate Manager or groundsman

We are seeking an experienced, highly professional Private Estate Manager or groundsmanto oversee the daily operations, maintenance, presentation, and vendor coordination of a luxury private estate.

This role requires an individual who is exceptionally organized, proactive, discreet, and capable of maintaining a world-class residential property to the highest standards. The Estate Manager will serve as the primary point of coordination for all property operations, ensuring the estate remains fully operational, impeccably maintained, and presentation-ready at all times.

The ideal candidate has experience working on high-end residential estates and possesses strong knowledge of luxury property maintenance, contractor management, landscaping, estate systems, and preventative maintenance operations.

Key Responsibilities Estate Operations & Oversight
  • Oversee the overall condition, appearance, and functionality of the estate and surrounding grounds
  • Conduct regular property inspections to proactively identify maintenance or operational concerns
  • Ensure the property is maintained to luxury hospitality-level standards year-round
  • Coordinate seasonal property preparation and weather-related readiness
Vendor & Contractor Management
  • Serve as the primary liaison for all outside vendors, contractors, and service providers
  • Coordinate and supervise landscapers, electricians, plumbers, HVAC technicians, gate companies, pool services, security vendors, cleaners, painters, and specialty contractors
  • Obtain proposals, schedule work, monitor quality control, and verify project completion
  • Maintain strong relationships with trusted vendors and service professionals
Grounds & Exterior Management
  • Oversee landscaping, irrigation systems, exterior lighting, hardscape maintenance, snow removal, and grounds presentation
  • Ensure gates, fencing, driveways, outdoor entertainment areas, and exterior systems remain in excellent condition
  • Coordinate preventative maintenance for all exterior features and estate infrastructure
Estate Systems & Maintenance
  • Monitor and maintain all estate systems including:
    • Lighting systems
    • Security and surveillance systems
    • Gates and access controls
    • HVAC systems
    • Backup generators
    • Pool/spa systems
    • Smart home technology
    • Irrigation systems
  • Coordinate emergency repairs and after-hours response when necessary
Administrative & Organizational Duties
  • Maintain organized records for warranties, service schedules, maintenance logs, and vendor information
  • Track ongoing projects, repair timelines, and maintenance schedules
  • Assist ownership with property-related requests and special projects
  • Maintain confidentiality and professionalism at all times
Qualifications
  • 5+ years of luxury estate, facilities, or high-end property management experience preferred
  • Strong understanding of residential construction, property systems, and estate operations
  • Excellent vendor and project management abilities
  • Exceptional attention to detail and problem-solving skills
  • Professional demeanor with high discretion and confidentiality
  • Ability to prioritize and manage multiple ongoing responsibilities
  • Hands-on mentality with willingness to assist operationally when needed
  • Valid driver’s license required
Preferred Experience
  • Luxury private estate household experience
