Job description

SECTION 1: Job Summary (Summary of the basic functions of the position)
Practice Administrators are more senior level office managers who typically manage multiple locations
and/or 30+ employees at one practice location. They work closely with the providers of a medical
practice or clinic, along with their Regional Practice Manager, to ensure effective, quality patient care is
provided. They are directly responsible for all aspects of the daily operations of the practice(s) they are
assigned. These medical professionals are in charge of making sure the practice space is running
smoothly and successfully.
SECTION 2: Duties and Responsibilities (Responsibilities necessary to accomplish job functions)
  • Provides leadership in implementing the organization's business plans for the practice / clinic.
  • Recommends, develops, implements improvements for the practice.
  • Informs Regional Practice Managers about current trends, problems and medical activities to facilitate policy making.
  • Establishes, secures approval and overseas clinic operating policies and procedures.
  • Assists providers to ensure all resources are available for quality patient care.
  • Oversees efforts for recruitment, development, performance evaluation of employees.
  • Oversees the business and financial affairs of the clinic and fiscal management in conjunction with Operations and Accounting functional leadership from the Corporate Support Office.
  • Oversees and manages the billing and collection process within the practice / clinic.
  • Enhances operational effectiveness, emphasizing cost containment without jeopardizing important innovation or quality of care.
  • Ensures clinic compliance with all regulatory agencies governing health care delivery and the rules of accrediting bodies.
  • Continually monitors operations, programs, physical properties; initiates appropriate changes under the direction the Regional Practice Manager.
  • Encourages community education by initiation participation in health fairs and events to promote awareness. Responsible for managing the overall marketing activities of the practice.
  • Represents the clinic in its relationships with other health organizations, government agencies, and third party payers.
  • Assists in managing practice managed care relationships, including monitoring of related reimbursement, negotiation with third party payers, provider credentialing, and maintenance of contracts.
  • Serves as liaison and channel of communication between the practice / clinic, health plans, insurance companies and regulatory bodies.
  • Resolves any medical-administrative problems and keeps lines of communication open with staff to ensure high employee morale and a professional, healthful clinic atmosphere.
  • Maintains professional affiliations and enhances professional development to keep current in the latest health care trends and developments.
  • Adheres to all safety policies and procedures in performing job duties and responsibilities while supporting a culture of high quality and great customer service.
  • Performs other duties that may be necessary or in the best interest of the organization

SECTION 3: Experience Requirements
  • Five (5)+ years experience as an Practice Administrator in a healthcare setting, required
  • Three (3)+ years experience in a dermatology practice, preferred

SECTION 4: Knowledge, Skills and Abilities Requirements
  • Thorough knowledge of medical terminology, required.
  • Ability to travel between multiple practice locations as assigned.
  • Basic knowledge of medical billing coding, including CPT and ICD-10 coding, required
  • Detail oriented, professional attitude, reliable
  • Management and organizational skills to support the leadership of this function
  • Ability to follow or provide verbal & written instructions with sufficient grammar and spelling skills to avoid mistakes or misinterpretations
  • Interpersonal skills to support customer service, functional, and team mate support needs
    • Able to communicate effectively in English, both verbally and in writing
  • Mathematical and/or analytical ability for basic to intermediate problem solving
  • Basic to intermediate computer operation
    • Proficiency with Microsoft Excel, Word, and Outlook
  • Specialty knowledge of systems relating to job function
  • Knowledge of state and federal regulations for this position; general understanding of HIPAA guidelines

SECTION 5: Supervisory Responsibilities:
  • Directly supervises employees in the practice space.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Responsibilities include interviewing, hiring, and training employees, planning, assigning, and directing work; appraising performance, rewarding and disciplining employees, addressing complaints and resolving problems.
