BASIC FUNCTION:

The Project Management Coordinator provides support to the project management team by assisting in planning, scheduling, and executing projects. They help ensure that project goals and objectives are met on time and within budget by tracking progress, organizing resources, and maintaining clear communication among stakeholders.

PRINCIPAL JOB DUTIES & RESPONSIBILITIES:

  • Project Support:
  • Assist in the creation and maintenance of project plans, schedules and timelines.
  • Help prepare project documentation and technical documents including for financial purposes.
  • Create customer-facing documentation with project details from project managers.
  • Monitor project documentation and ensure they meet quality standards and requirements.
  • Independently execute project progression to completion for Aftermarket orders (AMS).
  • Assist PM team with project progress reporting.
  • Independently manage the communication with customers for production samples as well as manage their receipt and storage location.
  • Coordinate with the Service department for commissioning tasks.
  • Administrative Duties:
  • Schedule and coordinate project meetings involving internal and external stakeholders, including preparing agendas and documenting meeting minutes.
  • Create and maintain project documentation, ensuring all files are organized, updated, and accessible to team members.
  • Assist in budget tracking and expense reporting.
  • Update and distribute project tracking.
  • Data input to ERP system with updated schedules and project details
Requirements:

REQUIRED SKILLS:

  • Strong organizational and time management skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Problem-solving abilities and adaptability in dynamic project environments.
  • Multi-tasking and prioritization skills to manage various administrative and project-related tasks.

REQUIRED EXPERIENCE AND QUALIFICATIONS:

  • 1-3 years experience in project coordination, project management, or administrative support in a project-based environment. Degree preferred (AA, BA)
  • Experience in manufacturing or similar hands-on production environment preferred
  • Strong skills in the Microsoft Office Suite (Work, Excel, PowerPoint, Outlook).
