Position Summary:
The Clinical Front Desk Coordinator is the first point of contact for patients and visitors at The Swan Center for Plastic Surgery. This role is essential in creating a welcoming environment, supporting clinical operations, and ensuring the front office runs smoothly. The ideal candidate is organized, detail-oriented, and skilled at managing multiple priorities in a fast-paced medical setting.


Key Responsibilities:

Front Desk & Communication

  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Check and respond to voicemails promptly.
  • Greet patients and visitors, ensuring a warm and professional reception experience.
  • Maintain a clean and organized reception area, including:
    • Stocking the fridge with water bottles.
    • Replenishing brochures, business cards, and magazines.

Administrative Support

  • Check and distribute incoming mail.
  • Ensure the copier/scanner is stocked with paper and functioning properly.
  • Scan and upload incoming faxes (e.g., from Quest and other offices) into the appropriate patient record in the EMR.
  • Keep the kitchen area stocked with necessary supplies.

Clinical Documentation & Chart Management (EMR)

  • Download, edit, and enter physician dictation directly into the electronic medical record (EMR) system.
  • Accurately file and organize scanned documents and loose paperwork into the correct patient's electronic chart.
  • Create new patient profiles and surgical charts within the EMR system as needed.
  • Scan and upload required paperwork into the EMR for clinical use.

Daily Preparation

  • Print and organize the next day's schedule.
  • Pull up patient charts and phone intake records in the EMR to prepare for consultations.
  • Prepare consent forms for Botox and major injections, and upload signed consents into the patient's EMR chart.
  • Ensure all revisit packets are prepared and patient charts are reviewed and ready in the EMR for the following day.
  • Upload and attach physician dictation to the appropriate patient charts in the EMR.

Additional Duties

  • Coordinate bi-weekly dry cleaning for physicians' coats.
  • Prepare and manage bank deposits as needed.


Qualifications:

  • Prior experience in a medical or clinical front desk role preferred.
  • Proficiency with electronic medical records (EMR) systems required; experience with [name your EMR platform, if applicable] a plus.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking skills.
  • Proficiency with office equipment and basic computer skills.
