Construction Coordinator

This position is hybrid working from our Legacy West Support Center located in Plano Texas.

Beauty Systems Group, branded as Cosmo Prof or Armstrong McCall stores, along with its direct sales consultants, sell professionally branded products intended for use and resale by salons to retail consumers.

About the role

This is a hybrid position working from our Legacy West Support Center in Plano, Texas.

The Construction Coordinator supports the Real Estate and Construction team by coordinating administrative, financial, schedule, and communication activities for new stores, relocations, remodels, refreshes, and special construction projects. This position helps ensure projects move through the development pipeline in an organized and timely manner by maintaining project documentation, tracking key dates and deliverables, supporting budget and invoice processing, coordinating with internal partners and third-party vendors, and providing accurate project updates through established reporting tools.

Responsibilities

  • 25% Maintain and update construction project schedules, pipeline trackers, project status reports, and Smartsheet or other project management tools to ensure accurate visibility into new store, relocation, remodel, refresh, and special project activity.

  • 20% Coordinate project documentation, including approved scopes of work, budgets, bid information, landlord requirements, permit status, construction start dates, fixture/equipment delivery timelines, inspection milestones, and store opening or turnover dates.

  • 15% Support construction budget tracking by processing invoices, purchase orders, vendor documentation, and expense coding; reconcile project spend against approved budgets and escalate discrepancies for review.

  • 15% Partner with Construction Project Managers, Real Estate, Store Operations, Store Design, Finance, Procurement, landlords, architects, contractors, and other third-party resources to support communication, follow-up, and timely completion of assigned deliverables.

  • 10% Assist with contractor and vendor coordination, including distribution of project information, collection of required documentation, tracking of insurance or compliance items, and support for bid or award processes as needed.

  • 10% Prepare recurring project updates, meeting materials, issue logs, and follow-up summaries to support departmental communication and executive reporting on project status, risks, timing, and budget performance.

  • 5% Support special projects and process improvement initiatives for the Construction and Real Estate leadership team, including efforts to improve speed to market, reporting accuracy, documentation standards, and overall project workflow.

Knowledge, skills & abilities requirements

  • High School Diploma or equivalent required; college coursework or degree in business, construction management, real estate, project management, or related field preferred.

  • Prior experience in retail construction, facilities, real estate, project coordination, vendor coordination, or multi-unit support environment preferred.

  • Strong organizational skills with the ability to track multiple projects, dates, documents, and follow-up items simultaneously.

  • Working knowledge of construction project flow, budgets, invoices, schedules, permits, contractors, and vendor communication preferred.

  • Proficiency with Microsoft Excel, Outlook, PowerPoint, and project tracking tools; Smartsheet experience preferred.

  • Ability to communicate clearly and professionally with internal stakeholders, landlords, contractors, architects, vendors, and field partners.

Working conditions & physical requirements

The work environment involves everyday risks or discomforts requiring normal safety precautions typical of offices, meeting rooms, retail stores, and commercial project sites. The work area is generally adequately lighted, heated, and ventilated. The position is primarily office-based and sedentary; however, the employee may occasionally walk stores or project sites, stand for short periods, carry light items such as plans, files, small equipment, or materials, use a keyboard, and travel by automobile or air as needed to support project activity.
Occasional visits to active construction or remodel sites may require adherence to site safety requirements and use of basic protective equipment as directed, such as safety glasses, hard hat, vest, or closed-toe footwear. No regular heavy lifting or strenuous physical demands are required to perform the essential functions of the role.
