Purpose

The Lead Inventory Coordinator oversees the receiving of all purchases made related to medications and supplies for the pharmacy. This position ensures that the pharmacy processing system data is accurate for all inventory purchased. This role also involves the dispensing functions of the pharmacy throughout the year in accordance with contractual and company requirements.

Responsibilities

  • Ensures all drugs and supplies are appropriately received, stored, secured, and maintained as per standards of practice and manufacturer guidelines. Ensures appropriate pedigree according to Federal and State laws, rules and regulations.
  • Works directly with finance to provide ongoing and end of month accruals, complete inventory count, and financial performance reports for the department.
  • Utilizes pharmacy software to optimize inventory PAR levels to monitor and maintain inventory, updates software and reorder points for stock whenever usage patterns change, maximize inventory turns by planning and forecasting purchasing needs, minimize and manage slow movers, and manage aged, excess, obsolescence, backorders, and shrinkage and coordinates pharmaceutical returns and credits.
  • Participates in the continuous quality improvement program and provides feedback regarding findings to staff. Develops, runs, and analyzes various reports pertaining to performance and quality to effectively manage inventory and optimize workflow.
  • Analyzes and identifies drug cost opportunities related to drug margins and contractual agreements. Maintains appropriate inventory items based on clinical/contractual requirements.
  • Collaborates with the Inventory Purchaser to ensure all orders are placed through the appropriate channels, such as wholesaler, GPO, dropship, 340B, or manufacturer designee.
  • Acquires inventory during periods of backorder, short-dated medication, etc. and communicates with staff to educate patients/providers.
  • Ensures proper placement/rotation/labeling of stock on shelves to optimize pharmacy workflow.
  • Ensures all assigned areas of the pharmacy and wholesale areas are stocked and checked for expired medications.
  • Reviews price changes within wholesaler catalog, updates and communicates inventory file maintenance as needed.
  • Executes returns/recalls to wholesaler and manufacturers and reconciles borrow/loans in a timely manner.
  • Ensures DSCSA requirements are maintained.
  • Creates and executes cycle count schedules to ensure systemic accuracy.
  • Assists with all activities pertaining to inventory controls and wholesale processes, including ordering and receipt of product, storage, security and access, accurate inventory records.
  • Other duties as required.

Required Qualifications

  • High school diploma or general education degree (GED).
  • Ability to work a flexible schedule.
  • Minimum of two (2) years of pharmacy operations experience.
  • Strong attention to detail.
  • Ability to problem-solve within area of responsibility.
  • Ability to work independently.
  • Familiarity with computer software, such as Microsoft Office.
  • Must be registered with the state Board of Pharmacy or be eligible to obtain registration prior to or within the first 90 days of employment.

Preferred Qualifications

  • Minimum of two (2) years of specialty pharmacy experience.
  • Minimum of two (2) years of pharmacy purchasing/inventory management experience.

Work Environment

This position operates in a home or professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to sit, see, talk, or hear. The employee frequently is required to stand; walk; use hands and fingers, handle or feel; and reach with hands and arms. Visual acuity is necessary for tasks such as reading, observing surroundings, or working with various forms of data. The employee is frequently required to lift up to 25 pounds; infrequently lifting up to 35 pounds.
