Summary

The Personal Risk Management Account Assistant provides administrative and operational support to the Personal Risk Management team in servicing high-quality personal insurance accounts. This position assists with policy servicing activities, including processing endorsements, updating agency management systems, handling renewal processing, following up on claims, and responding to routine client and lender requests. Working closely with Account Managers and insurance carriers, the Account Assistant helps ensure client accounts are serviced accurately, efficiently, and in accordance with agency procedures while delivering exceptional customer service.

Essential Duties and Responsibilities

  • Prepare materials required for meetings and presentations
  • Maintain electronic files in accordance with agency procedures.
  • Process policy changes and endorsements as assigned, ensuring accuracy and timely completion in accordance with agency procedures.
  • Make all necessary updates to agency management systems and insurance carrier systems for assigned accounts.
  • Enter policy details into the agency management system for all non-downloaded policies and verify the accuracy of policy information.
  • Process incoming renewals, including filing, labeling, comparing renewal policies to the expiring policy, and identifying discrepancies for review by the Account Manager.
  • Follow up with insurance carriers regarding claim status and communicate updates to the Account Manager as appropriate.
  • Respond to requests for mortgagee, lender, or additional insured proof of insurance in a timely manner.
  • Manage assigned tasks and workflows within the agency management system to ensure timely completion and follow-up.
  • Maintain an accurate and organized task list to ensure work is completed within established service standards.
  • Assist Account Managers with day-to-day servicing activities and special projects as requested.
  • File and maintain electronic documents in a timely manner using agency document management systems.
  • Meet agency standards for quality, accuracy, and timely processing of assigned work.
  • Attend carrier meetings, training sessions, and departmental meetings to stay current on carrier guidelines, products, and procedures.
  • Provide backup support to other members of the Personal Risk Management team as needed to ensure continuity of client service.
  • Maintain a high level of professionalism and deliver exceptional customer service in all interactions with clients, carriers, and internal team members.
  • Perform other duties and special projects as assigned.



Requirements

  • High school diploma required; bachelor's degree preferred.
  • Have at least one (1) year of experience preferred in the insurance industry in a clerical, administrative, or customer service role, or in a similar professional services environment.
  • Hold a current and valid California Property & Casualty Insurance License or have the ability to obtain one within six (6) months of hire.
  • Have the ability and willingness to attain industry insurance designations or certifications within eighteen (18) months of hire.
  • Demonstrate exceptional customer service skills with a supportive, responsive, and professional approach to both internal and external customers.
  • Develop excellent written and verbal communication skills, with a focus on building and maintaining strong client relationships.
  • Demonstrate the ability to manage multiple priorities and client accounts simultaneously while maintaining a high level of accuracy, organization, and attention to detail.
  • Thrive in a fast-paced environment with the ability to prioritize work, meet deadlines, and adapt to changing business needs.
  • Demonstrate the ability to work collaboratively with Account Managers, insurance carriers, and other team members to achieve departmental and company goals.
  • Possess strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint). Experience with AMS360, ImageRight, and other agency management systems is preferred.
  • Demonstrate proficiency in conducting and participating in virtual meetings using Microsoft Teams and Zoom, including screen sharing and presentation capabilities.
  • Maintain current knowledge of carrier products, underwriting guidelines, and agency procedures by attending carrier meetings, training sessions, and educational opportunities.
  • Once licensed, maintain all continuing education requirements necessary to keep the Property & Casualty license in good standing.

Salary

The estimated base salary range for this full-time position is $45,000 - $50,000 annually.

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The hiring range represents the company's good faith and reasonable estimate of the range of possible compensation at the time of posting.
